Founded by Jill Neubauer in 1994, Neubauer Ennis Architects is a residential firm with offices in Falmouth and Duxbury. Our studio is located in a historic barn in Falmouth. We have designed custom homes as well as historically sensitive renovations. The Business Manager is responsible for the firm’s financial operations, human resources administration, payroll, benefits, and business operations. This part‑time, hybrid hourly position works closely with the Principals to ensure the firm runs efficiently and maintains accurate financial records, regulatory compliance, and exceptional client service. We estimate this role to be 20‑30 hours per week.
We’re looking for someone who enjoys building systems, solving problems, and keeping a small business running smoothly. The ideal candidate is proactive, organized, financially minded, and comfortable working closely with firm leadership.
Human Resources / Payroll- Administer employee benefits, including health, dental, disability, retirement, and leave programs.
- Coordinate employee onboarding, offboarding, and personnel records.
- Process biweekly payroll and maintain payroll records.
- Coordinate payroll deductions, retirement contributions, and benefit with holdings.
- Serve as the primary HR resource for employees.
- Oversee the firm’s day‑to‑day accounting in Quick Books, including accounts payable, bank reconciliations, credit cards, and general ledger maintenance.
- Maintain project setup, billing rates, and financial records.
- Coordinate the monthly invoicing process with project managers and Principals.
- Generate client invoices, fee summaries, and financial reports.
- Track receivables and client payments.
- Prepare monthly, quarterly, and annual financial reports.
- Partner with the Principals on budgeting, forecasting, and financial planning.
- Coordinate tax filings and regulatory reporting with the firm’s outside accountant.
- Maintain required state filings and corporate compliance.
- Manage the firm’s business and employee insurance policies, working with outside brokers and carriers.

Position Requirements
- 5+ years of experience in business management, accounting, or bookkeeping.
- Experience with payroll, benefits administration, and HR processes.
- Proficiency with Quick Books.
- Strong Microsoft Office 365 skills, particularly Excel.
- Strong communication, time management and prioritization skills.
- Demonstrated ability to improve systems, solve problems, and manage multiple priorities independently.
- Attention to confidentiality.
- Comfortable working independently and taking ownership.
- Experience in an architecture, engineering, or other professional services firm is preferred.
