Position: Payroll Specialist I

Overview

This position will be responsible for processing weekly payroll with a variety of time capturing systems, remitting garnishments to outside agencies, and processing quarterly payroll tax returns while ensuring SOX compliance. The role also assists the Finance and Accounting team with critical functions and provides backup as directed to maintain consistent services to the organization.

Travel: This position will be based in the Fargo, ND office daily.

Responsibilities
  • Ensure compliance with SOX guidelines and maintain accurate controls.
  • Review and import time captured in InEight and View Point One  into Viewpoint.
  • Enter paper timesheets into Viewpoint.
  • Process payroll weekly and upload employee paystubs to the portal.
  • Manage pay‑card uploads and assist employees with related inquiries.
  • Update payroll information for new hires and rehires.
  • Maintain professional skepticism when receiving employee banking information to identify and reject fraudulent requests.
  • Record vehicle allowance monthly.
  • Review, evaluate, and process late timesheets and back‑pay from previous weeks.
  • Make necessary reversal entries from prior weeks.
  • Apply deductions such as miscellaneous invoices.
  • Provide reports to Payroll Coordinator/Accounting Manager.
  • Post payroll, equipment, job cost, and GL entries weekly.
  • Maintain PTO account balances and monthly accruals.
  • Prepare and submit federal and state tax deposits on a weekly, monthly, or quarterly basis.
  • Submit certified payrolls to the proper agencies for Wanzek and subcontractors.
  • Prepare and forward garnishment checks to appropriate agencies each week.
  • Submit termination information to appropriate agencies.
  • Reconcile payroll‑related GL and intercompany accounts at month‑end.
  • Submit new hire reports every two weeks.
  • Prepare Job Service Employment Census data monthly.
  • Prepare quarterly payroll tax returns for review by Payroll Lead, Payroll Manager, or CFO.
  • Assist the HR department with any questions or issues.
  • Answer payroll‑related questions from field employees and project managers.
  • Set up and register new W‑2 and unemployment states.
  • Maintain debit filters for all payroll‑related electronic payments.
  • Sort, scan, and file timesheets and other payroll paperwork weekly.
  • Send weekly 401(k) deductions for approval and submit to Merrill Lynch.
  • Assist other team members as needed.
Qualifications
  • Associate’s or Bachelor’s degree in Accounting or Business, or two years of accounting, payroll, or business‑related experience in lieu of a degree.
  • Strong understanding of health, safety, and zero‑injury principles.
  • Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, and governmental regulations.
  • Strong written communication skills for reports and business correspondence.
  • Excellent presentation skills and ability to respond to questions from managers and external parties.
  • Proficiency with basic arithmetic and data analysis (rate, ratio, percent, bar graphs).
  • Common sense understanding to follow written, oral, or diagrammatic instructions.
  • Problem‑solving skills for standardized situations with multiple variables.
Working Environment
  • Jobsite visits involve exposure to hazards or physical risks; basic safety precautions must be followed.
  • Work may involve moderate exposure to extreme temperatures, dust, fumes, smoke, unpleasant odors, and loud noises.
