The Accounts Payable & Receivable Manager oversees all financial transactions related to vendor payments, customer billings, project invoicing, and account reconciliation. This role ensures accuracy, timeliness, and compliance across all AP/AR functions while supporting project managers and leadership with clear, reliable financial reporting. A construction background is strongly preferred due to the industry’s unique billing structures, pay applications, lien waivers, and vendor management requirements.
Key Responsibilities- Manage the full cycle of accounts payable including invoice processing, coding, approvals, payment runs, and vendor communication.
- Oversee accounts receivable including customer invoicing, progress billing, AIA pay applications, collections, and payment posting.
- Maintain accurate job cost records and support project managers with billing schedules, change orders, and contract compliance.
- Reconcile vendor statements, customer accounts, credit card transactions, and monthly financial activity.
- Ensure proper documentation for construction-specific requirements such as lien waivers, certified payroll attachments, subcontractor compliance, and insurance tracking.
- Monitor aging reports and proactively address overdue balances on both AP and AR sides.
- Coordinate with internal teams to resolve discrepancies, missing documentation, or project billing issues.
- Support month-end and year-end closing processes, including accruals, reporting, and audit preparation.
- Maintain organized digital and physical records aligned with company standards and construction documentation practices.
- Identify process improvements to increase efficiency, accuracy, and financial transparency.
- 5+ years of experience in accounts payable, accounts receivable, or general accounting.
- Construction industry experience strongly preferred, including familiarity with AIA billing, job costing, and vendor compliance.
- Proficiency in Quick Books Desktop, Microsoft Office, and construction management software.
- Strong understanding of GAAP principles and financial controls.
- Excellent attention to detail, organizational skills, and ability to manage multiple deadlines.
- Professional communication skills with the ability to work effectively with vendors, customers, and internal teams.
- Ability to analyze financial data and provide clear, actionable insights.
