Legacy Wealth Management is seeking a dependable, detail-oriented Financial Services Associate to support the daily operations of our firm. This role is central to keeping the business running smoothly and will provide administrative, financial, marketing, and executive support to our advisory team—with particular focus on personal assistance for our company President.
The ideal candidate is organized, proactive, client-focused, and comfortable wearing multiple hats in a small, collaborative office environment.
Key Responsibilities Administrative & Front Desk Support- Serve as the first point of contact for incoming calls and visitors
- Manage scheduling, correspondence, mail, and general administrative duties
- Maintain organized digital and physical records
- Assist with internal reporting, data entry, and process tracking
- Provide direct administrative and scheduling support to the President
- Manage calendar coordination, meeting preparation, and follow-up items
- Assist with correspondence, reminders, and organization of priorities
- Help ensure deadlines, commitments, and daily workflow remain on track
- Assist advisors with preparation, processing, and follow-up of account paperwork and service requests
- Maintain accurate records and documentation in accordance with firm and FINRA regulatory requirements
- Coordinate with custodians and internal systems to support account maintenance and servicing
- Track outstanding items and ensure timely completion of advisor-related tasks
- Assist with creation, formatting, and distribution of newsletters, mailings, and other communications
- Support client events, seminars, and appreciation initiatives
- Maintain contact lists and assist with outreach efforts
- Provide general support for branding and marketing initiatives
- Strong organizational and time-management skills
- Ability to prioritize tasks and manage multiple responsibilities
- Professional communication skills (written and verbal)
- Comfortable working independently and anticipating needs
- Proficiency with Microsoft Office (Word, Excel, Outlook); familiarity with financial services and CRM systems is a plus
- Discretion and confidentiality are essential; familiarity with FINRA rules a plus
- Background in financial services, banking, or professional services
- Experience supporting an executive or advisor in a fast-paced environment
- Administrative, customer service, or marketing support experience
- High School Diploma or GED, Advanced Certification, Associate s or Bachelor s Degree
