Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
The Administrative Assistant provides comprehensive administrative facilities and operational support to ensure the efficient and effective functioning of the organization. This role supports senior leadership, manages office operations, coordinates facilities utilization, and ensures a secure, well‑maintained, and well‑organized work environment.
Responsibilities- Fully onsite role requiring presence in the office 5 days per week (Monday‑Friday) to support leadership needs, facilities operations, and employee experience.
- Oversee day‑to‑day office operations and facilities readiness, including workspace and conference room utilization.
- Conduct routine inspections; coordinate maintenance and resolve facility issues promptly.
- Manage office services, supplies, and vendor relationships to maintain availability and cost efficiency.
- Coordinate meeting logistics, including room setup/technology readiness and catering for onsite events.
- Administer security and badging/access processes for employees, visitors, and contractors in line with policy.
- Manage Vice President calendars and scheduling, including prioritization and conflict resolution.
- Arrange Vice President travel and itineraries; prepare and submit expense reports as needed.
- Develop and refine executive‑level presentations for senior leaders.
- Provide general administrative support and perform other duties as assigned.
- U.S. Citizenship required.
- High School Diploma required.
- Specialized and/or multi‑skilled capabilities developed through job‑related training and significant on‑the‑job experience.
- Ability to work with a limited degree of supervision and manage competing priorities.
- Skilled in administrative, facilities, and operational processes, procedures, and systems; or deep expertise in a specialized area.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams).
- Ability to maintain professionalism and discretion when supporting senior leadership.
- Detail‑oriented with strong organization and follow‑through.
- Clear, professional communication and relationship‑building across teams and with external partners.
- Sound judgment and practical problem solving, including identifying and resolving atypical issues.
- Ability to understand how administrative support integrates with broader organizational objectives.
- Comfort working with frequent interaction across executives, employees, facilities vendors, and security partners.
- Focus on improving efficiency and recommending changes that enhance office effectiveness.

U.S. National Base Pay Range: $44,500 - $74,100. Geographic differentials may apply in some locations to better reflect local market rates.
