Position: Administrative Assistant I

The Administrative Assistant I provides administrative support to teams, departments, and groups in our West Fargo office, ensuring smooth and efficient delivery of services to our customers and stakeholders. The position may support multiple teams and locations and serves as an entry-level opportunity within our administrative support team.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Operation Duties:
  • Welcome clients, guests, and visitors to the organization with a friendly and professional demeanor
  • Answer multi‑line phone system (screening/transferring all inbound and interoffice calls for all offices)
  • Distribute/prepares incoming and outgoing mail/packages (mass mailings)
  • Schedule meetings and webinars, arrange meal requests, prepare conference/training rooms, arrange lodging and travel needs for employees
  • Run office/project related errands, as needed
  • Assist with purchasing of supplies; ensure supplies remain stocked
  • Uphold Moore brand standards, including project folder structure and document naming standards
Project Coordination:
  • Format/edit/proofread correspondence (letters/reports/forms/templates/etc.)
  • Assist with project manual setup (front ends/specifications/reports/etc.)
  • Create compiled documents for plans, specifications, reports, etc.)
  • Manage online bidding process (advertising/uploading/distribution/bid opening)
  • Construction Contract Administration
  • Prepare Contracts and ensure contract is fully executed between Owner and Contractor
  • Assist with preparation of financial workbook docs for projects
  • Assist with construction documentation (change orders/work orders/punchlists/etc.)
  • Assist with project closeout
  • Assist with project production (printing/binding)
Office Administration Support:
  • Assist with conferences/community events
  • Assist with coordination of strategic services (HR/Marketing/IT/Accounting)
  • Assist with the planning/execution of company events for respective office(s)
  • Coordinate with vendors to order office supplies/equipment
  • Serve as a resource to employees for inquiries regarding software/programs
  • Other Duties as Assigned
QUALIFICATION REQUIREMENTS:
  • High school diploma/GED or the equivalent combination of education and experience
  • Prefer prior administrative support experience in a professional environment
  • Proficient in Microsoft 365 and Adobe Suites
  • Ability to effectively communicate with all levels of the organization
  • Ability to multi-task and effectively prioritize numerous projects simultaneously
  • Ability to make routine decisions within defined parameters
  • Ability to work overtime, if necessary
  • Must have a valid driver’s license and be insurable
