Be the welcoming face of Vogel Law Firm. We are seeking an Office Coordinator to join our team and serve as the welcoming front desk presence for our Fargo office. In this role, you'll support clients, visitors, vendors, attorneys, and staff with meeting logistics, shared spaces, and day‑to‑day administrative work. We are looking for someone collaborative, detail‑oriented, professional, and comfortable juggling multiple priorities in a confidential office environment.
WhatYou'll Do
- Greet clients, visitors, and vendors; answer and route calls; direct guests per firm procedures
- Receive, sort, and distribute mail and deliveries, including time‑sensitive or confidential materials
- Maintain shared spaces, including reception, conference rooms, refreshment stations, and handle daily opening and security routines
- Coordinate day‑of meeting logistics: room setup, visitor flow, refreshments, materials, and cleanup
- Monitor inventory and order office and refreshment supplies
- Serve as point of contact for office, equipment, facility, and service vendors
- Complete administrative assignments and special projects as directed
Schedule for this position is Monday through Friday, approximately 8:00 AM to 5:00 PM. This role requires consistent, reliable attendance to ensure continuous front desk coverage.
Required Qualifications- High school diploma or equivalent
- Working experience with Microsoft 365 (Outlook, Word, Excel, Teams)
- Demonstrated communication, relationship‑building, and organizational skills
- Proven ability to prioritize and stay composed in a fast‑paced environment
- 2-3 years of experience in reception, administrative support, or customer service in legal or professional services industry
- Experience coordinating meetings, shared spaces, vendors, supplies, or office inventory
- Familiarity with handling confidential documents, visitor procedures, or office security protocols
This role requires prolonged sitting, use of a computer, occasional lifting (up to 25 lbs.), and the ability to communicate clearly in person and over the phone. Reasonable accommodation will be provided.
