Better Together ND provides essential Community Connect, Free Through Recovery, and 1915(i) services throughout the State of North Dakota. Our organization is dedicated to bridging the gap between recovery needs and tangible results through peer support and specialized care coordination. We are currently seeking a highly organized and professional Office Administrator to oversee our administrative, financial, and human resources operations.
Position SummaryThe Office Administrator is responsible for the internal operations of the organization. This role ensures business continuity by managing the employee lifecycle, maintaining financial records, and overseeing general administrative functions. The ideal candidate will be a detail-oriented professional capable of handling sensitive information with the highest level of confidentiality and integrity.
Responsibilities- Human Resources & Employee Management
- Recruitment: Facilitate the hiring process by screening applicants, scheduling interviews, conducting background and reference checks, and preparing formal offer letters.
- Onboarding & Offboarding: Lead new hire orientations, manage system access (Google Enterprise, Payroll, and Finance portals), and execute standardized separation procedures for departing staff.
- Financial Administration
- Payroll Processing: Maintain the payroll system, track reimbursements, and submit quarterly reports.
- Expense Management: Reconcile company expenses, manage digital receipt archives, and oversee monthly vendor payments, including office rent and utilities.
- Funding Oversight: Manage monthly funding submissions and conduct audits for programs to ensure regulatory compliance.
- General Operations & Leadership
- Policy Development: Assist in drafting, editing, and publishing organizational policies and procedures to ensure operational consistency.
- Outreach & Prospect Management: Manage incoming inquiries from the website and social media platforms, ensuring prospects are delegated to the appropriate department.
- Staff Supervision: Provide direct supervision and regular check-ins for administrative support staff.
- Leadership
Collaboration:
Attend and contribute to leadership and development meetings to support the organization’s strategic goals.
- Experience: Minimum of 2–3 years in office administration, human resources, or a related operational role.
- Technical
Skills:
Proficiency in Google Workspace, payroll management systems, and financial portals. - Communication: Strong professional writing skills and the ability to communicate effectively with internal leadership and external partners.
- Organizational
Skills:
Exceptional attention to detail with a proven ability to manage multiple high-priority tasks simultaneously. - Discretion: Demonstrated experience handling confidential human resources and financial documentation.
