Position SummaryWe are seeking a detail-oriented part-time Accounting Associate to support day-to-day accounting operations, Quick Books maintenance, bill pay, revenue tracking, office administration, and special projects across multiple affiliated entities. This role requires strong organizational skills, accuracy, follow-through, and the ability to manage recurring accounting processes while responding to ad hoc questions and business needs.

- Accounts Payable, Bill Pay & Banking
- Enter bills in Quick Books and process weekly bill pay.
- Record payments, prepare bank deposits, process deposits, and maintain self-funded escrow accounts.
- Manage line of credit activity and support related payment tracking.
- Quick Books, Reconciliations & Financial Reporting
- Maintain Quick Books records for multiple separate LLCs and complete monthly reconciliations.
- Calculate and post journal entries for interest, amortization, and payroll.
- Review and assign credit card expenses in Quick Books
- Scan and save receipts; verify and enter expense reports.
- Assist with ad hoc financial planning questions, revenue questions, and expense-related inquiries.
- Record revenue and review reports to determine appropriate agent or advisor allocation.
- Invoice monthly rent and calculate and invoice tenant utilities.
- Invoice quarterly and additionally as needed.
- Calculate monthly and quarterly bonuses for advisors.
- Calculate quarterly revenue to financial professionals and support post-closing payments
- Track draws against future income
- Tax, Compliance & Annual Reporting
- Prepare quarterly tax payments
- Compile 1099 data to submit to the CPA
- Support annual reporting requirements
- Administrative & Office Support
- Monitor the accounting email inbox and follow up as needed.
- Handle general filing and information collection for various events and projects.
- Serve as a contact for services such as internet, lawn care, snow removal, maintenance, cleaning, and related vendors.
- Set up services as new properties are acquired.
- Complete special projects as needed.
- Prior experience in accounting, bookkeeping, accounts payable, or financial administration.
- Experience using Quick Books for transaction entry, reconciliations, reporting, and expense classification.
- Strong attention to detail and ability to manage recurring monthly, quarterly, and annual deadlines.
- Ability to work across multiple entities, accounts, vendors, and revenue streams.
- Strong organizational and follow-up skills.
- Comfort handling confidential financial information with discretion.
The ideal candidate will demonstrate:
- Proficiency with Quick Books Online
- Proficiency with Microsoft Office applications, email management, and digital document organization.
- Ability to communicate clearly with internal staff, outside vendors, CPAs, financial professionals, and service providers.
- Strong organizational skills

This position primarily operates in a professional office environment and may require occasional travel, training attendance, or participation in company events.
