Responsibilities
  • Perform general clerical functions including basic processing, reception, filing, record keeping, bookkeeping, and typing.
  • Typing:
    Use computers, tablets, and other electronic equipment to type a variety of materials from rough copy or electronic recordings, including correspondence, memos, reports, forms, applications, bills, and other documents; review and correct drafts for conformance with originals; enter and retrieve data on personal computers and tablets.
  • Filing:
    Maintain logs; set up and maintain records and files according to established procedures (e.g., alpha, numeric, or chronological order); search files for information.
  • Correspondence:
    Prepare and send out standard form letters with minor revisions or additions.
  • Report Writing:
    Compile information from standard sources and prepare reports.
  • Interpersonal:
    Answer phone, transfer calls, take messages, receive and direct visitors, handle routine requests for information, procedural guidelines or assistance over the telephone or in person, and manage reception and information desk operations.
  • Processing:
    Receive, sort, and distribute mail; perform basic processing tasks such as sorting, numbering, coding, and filing materials; review materials for accuracy and completeness; make changes per instructions or as authorized; verify information through cross-referencing of existing computer and/or manual files or inquiries by phone or correspondence; post to ledgers, account books or other records; receive payments for licenses, bills, applications, fines, and fees;

    prepare, total and balance receipts; prepare cash transmittal/deposit slips; type and prepare purchase requisitions, orders, or billing invoices; assist in inventory and supply orders; perform related duties as required.
Supervision Received

Initially works under close supervision of a higher-grade employee; works more independently with acquired experience.

Knowledge, Skill and Ability
  • Knowledge of office procedures, including telephone usage and filing.
  • Knowledge of spelling, punctuation, and grammar.
  • Typing skill for a variety of materials.
  • Basic interpersonal, oral and written communication skills.
  • Basic arithmetical computation ability.
  • Ability to operate office equipment, including computers, tablets, and other electronic devices.
  • Ability to perform basic clerical tasks such as coding, sorting, alphabetizing, and numeric ordering.
Minimum Qualifications – General Experience
  • Six (6) months as a typist or equivalent.
Minimum Qualifications – Substitutions Allowed
  • High school graduation with coursework in typing.
Preferred Qualifications
  • Professional demeanor when interacting with patients, visitors, and staff in fast‑paced and high‑stress environments.
  • One (1) year of work or volunteer experience in a healthcare setting and/or closely related environment.
  • Demonstrated written and verbal communication skills with ability to interact effectively with diverse populations.
  • Sound judgment in prioritizing, addressing, and resolving patient and visitor concerns.
  • Ability to provide telephone directory assistance and location guidance to patients, visitors, and staff.
  • Experience creating and managing visitor badges and visitor access processes.
  • Ability to assist patients and visitors with transportation coordination and related requests.
  • Experience maintaining routine records, filing systems, sorting documents, and performing general clerical and office support duties.
Schedule

Full‑time, 40 hours per week:
Monday through Friday, 10:00 am to 6:30 pm; every other weekend and holidays from 8:00 am to 4:30 pm.
