Executive Assistant and Print Media Full Time
The Executive Assistant provides secretarial and clerical support for the pastoral and school administrative staff, working days in both offices. The Executive Assistant is primarily responsible for creating a weekly bulletin. The Executive Assistant takes direction from the Priests, the Parish Office, and the School Office managers.
Duties- Responsible for greeting all visitors, parents, and parishioners who arrive at the offices
- Directs incoming calls and communications to the appropriate person/department
- Monitors church and school entries with remote access
- Supports parish pastoral and school administrative staff by providing a variety of clerical tasks and secretarial assistance, as directed
- Assists and supports parish ministries, including baptism, St. Vincent De Paul, nursing home visitors and homebound visitors
- Prepare weekly liturgy for nursing home Masses and introductions and intentions for weekend Masses
- Designs a weekly bulletin publication as well as creative print media.
- Ensuring all parish groups communicate with effective print media.
- Annual reports for AOD/State/County/Health Department
- Set up and maintain student records (CA60 files), transfer as necessary when students leave/graduate
- Maintain attendance records for school staff
- Organize Staff Events
- Record sacraments and contributions
- Schedule ministers for daily Mass
- Collects altar bread and coordinates tasks with Worship Coordinator
- Mail campaigns to thank and acknowledge donors.
- Support for Advancement and Development Directors as needed.
- Must have computer skills, including AI Generative Software
- Ability to communicate electronically and with confidentiality.
- Excellent organizational skills with attention to detail, problem-solving skills, verbal, and written communication skills necessary.
- Must be capable of learning Parish database and contributions software if not already experienced. (Parish soft and Pushpay, respectively)
- Must have strong relational skills and the ability to work effectively as part of a team or independently in a professional workspace.
- Monday, Tuesday, and every other Friday in the parish office.
- Wednesday, Thursday, and every other Friday in the school office.
- The Parish Office is open 9-4:30 Mon-Thurs with a one-hour lunch at noon, and Friday 9
- Noon. - The School Office is open 7:30-3:30.
- Each office is staffed with a manager, which makes the schedule somewhat flexible.
