Summary
The Mailroom and Office Support Specialist is responsible for providing mailroom, shipping and receiving, document production, and office support services in a fast-paced corporate environment. This role manages inbound and outbound mail operations, supports print and scanning services, maintains office equipment, and delivers exceptional customer service while ensuring efficient day-to-day office operations.
Responsibilities
- Receive, sort, track, and distribute inbound mail, packages, and freight deliveries.
- Prepare, meter, track, and process outbound mail and packages using approved shipping and carrier systems.
- Generate shipping labels, communicate tracking information, and coordinate package handoffs with designated carriers.
- Maintain mailroom supply inventory and order supplies as needed.
- Provide customer support by responding to mail, shipping, and office services inquiries via phone, email, instant messaging, and in person.
- Operate high-volume mail processing, document imaging, copying, scanning, and printing equipment.
- Perform document scanning, quality control, file management, and document handling using document management systems.
- Troubleshoot multifunction printers by clearing paper jams, replacing toner, ordering supplies, and coordinating equipment service when needed.
- Maintain copier areas, production equipment, service logs, meter readings, billing records, and operational reports.
- Perform binding, finishing, filing, archiving, and other document production activities as required.
- Deliver completed print jobs, mail, and packages throughout the facility.
- Support meeting room setup, light office maintenance, and general mailroom housekeeping.
- Communicate with vendors regarding service outages, deliveries, and operational updates.
- Maintain a professional, customer-focused environment while supporting employees and executive staff.
- Perform additional office services and administrative duties as assigned.
- High school diploma, GED, or equivalent.
- 1 2 years of experience in mailroom operations, office services, document production, or a related field.
- Experience operating high-volume copiers, scanners, document imaging systems, and mail processing equipment is preferred.
- Proficiency with Microsoft Office applications, including Outlook, Excel, Teams, and SharePoint.
- Experience using document management systems and standard office technology.
- Strong customer service, communication, and interpersonal skills, with the ability to interact professionally with executive-level employees.
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Basic mathematical, filing, and recordkeeping skills.
- Ability to troubleshoot office equipment and coordinate service requests.
- Ability to stand, walk, bend, and lift up to 50 pounds while performing daily responsibilities.
- Valid driver's license may be required based on business needs.
