Position Summary
This position is responsible for providing administrative support for the Occupational Therapy Assistant and Respiratory Therapy programs.
Major Duties- Coordinate and assist with accreditation reporting; compile and analyze data; assist with processing responses to standards; review and counsel on processes related to accreditation standards.
- Provide program assistance to students; generate academic/degree plans through Self Service; compile and verify student information for student portfolios.
- Accept and process program admission applications.
- Provide administrative support for faculty in the development of class materials.
- Assist with monitoring program budgets and maintain related records.
- Answer telephone and greet visitors; provide information and assistance; refer to appropriate personnel; take messages and make appointments.
- Maintain program files and records.
- Assist in coordinating the student completion ceremony and other student‑related events as assigned.
- Prepare for Advisory Board meetings, continuing education programs, and recruiting and orientation sessions.
- Maintain office and program supply inventories and make purchases as needed.
- Make travel arrangements for department personnel.
- Sort and distribute incoming mail.
- Attend meetings and record minutes.
- Perform related duties.
- Assist the Dean and School Operations Coordinator as needed.
- Knowledge of modern office practices and procedures.
- Knowledge of college and program policies and procedures.
- Knowledge of computers and job‑related software programs.
- Knowledge of business, accounting and budgeting procedures.
- Skill in prioritizing and organizing work.
- Skill in the use of office equipment such as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
OTAP and RT Directors assign work in terms of general instructions. Supervisors spot‑check completed work for compliance with procedures, accuracy, and the final results. OTAP Director is the supervisor for leave approvals and timesheet approvals.
Complexity / Scope of WorkThe work consists of related administrative duties. Frequent interruptions contribute to the complexity of the position. The purpose is to provide administrative support for the operations of the OTAP and RT programs, contributing to their efficiency and effectiveness.
ContactsTypical contacts are with co‑workers, other college employees, students, vendors, and the general public for information exchange, problem resolution, and service provision.
Physical Demands / Work EnvironmentWork is typically performed intermittently while sitting, standing, or stooping. The employee may occasionally lift light and heavy objects, use equipment requiring dexterity, and distinguish between shades of color. The work is performed in an office setting.
Supervisory and Management ResponsibilityThis position supervises assigned student workers.
Minimum Qualifications- Completion of specialized training or basic skills associated with a high school education.
- Experience sufficient to understand basic principles relevant to major duties, usually associated with completion of an apprenticeship/internship or having had a similar position for one to two years.
