Position Overview

From front-office and call center assistance to mailroom coordination and managing the department switchboard, you'll play a central role in keeping communication and workflow organized.

You will also prepare correspondence, reports, and official records while maintaining files and ledgers with accuracy and care. Examples of Duties
  • Performs call-center duties by navigating the Automated Case Tracking System (ACTS) to respond to inquiries and complete authorized child-support functions, including address updates.
  • Manages telephone conversations while accurately entering case notes, retrieving information, and updating electronic records.
  • Answers departmental telephone calls, provides general program information within the scope of the position, and routes inquiries to the appropriate staff member.
  • Provides front-office and reception coverage by greeting visitors, determining the purpose of their visit, and directing them to the appropriate service area or representative.
  • Takes and relays messages accurately and maintains awareness of staff availability to support effective communication and customer service.
  • Maintains manual and electronic appointment logs and assists with coordinating scheduled visits.
  • Receives and records payments for applications and DNA testing and reconciles daily funds with receipts in accordance with established procedures.
  • Supports facility operations by submitting and monitoring work orders for repairs and maintenance needs.
  • Monitors incoming and outgoing mail, correspondence, and packages to ensure timely processing, distribution, and delivery.
  • Collaborates with the administrative team to prepare correspondence, reports, and other materials and assists with establishing and maintaining files, ledgers, and departmental records.
Minimum Qualifications

High school diploma or GED and six (6) months of experience as an office assistant, secretarial, or records processor; or an equivalent combination of education and experience.

Management Preferences: One (1) year of Child Support experience directly dealing with external customers and/or call center experience

Necessary additional requirements:

Successful completion of Customer Service, Spelling, and Data Entry tests will be required. Candidates selected as qualified will be contacted via email by a Human Resource representative for testing.
