Position: SUPPORT SERVICES COORDINATOR - PT (53582)

Summary

The Foster Care to Permanency (FC2P) Support Services Coordinator is responsible for the management of family foster care and adoption case records and administrative support for Foster Care to Permanency staff. These duties include the coordination of client records, data systems, and workflow. We are looking for a part‑time Coordinator to work in the Fayetteville office working 25‑29 hours per week.

Primary

Job Functions
  • Assist with processing foster care/adoption applications for assigned Hub(s) and obtain assignments from Supervisors; data entry information into Apricot and/or Binti.
  • Perform criminal records checks for applicants and upload into Binti database; confirm information provided to obtain Adam Walsh Child Abuse/Neglect checks and Out of State CRCs; follow‑up to ensure these documents are obtained; data entry/scan/upload information into Binti.
  • Assignment of Specialist letters to applicants; update information in database system(s).
  • Process approved foster care licenses, data entry/scan/upload to Apricot and/or Binti, with notification to assigned Specialist.
  • Manage family client records for Foster Care to Permanency, including new case set up and follow‑up on missing items.
  • Process and file all case documentation for services provided to clients.
  • Submit family referrals matched with specific children and record in ECHO and/or Binti.
  • Submit RILs and fingerprints to State office for approval and subsequent coordination/follow‑up; data entry/scan/upload to Binti.
  • Prepare foster care service contracts for children in care and follow up with DSS for those contracts not received; scan/upload to Binti.
  • Process foster care licensing packets and adoptive pre‑placement assessment packets, verify required documentation; data entry into Apricot and/or Binti.
  • Submit approval letters to families upon receipt of licensure from State.
  • Weekly review of DQR report and correct any errors found.
  • Compile client records according to the procedures required to comply with guidelines for accreditation, licensure, local area mental health entities, or other appropriate funding sources.
  • Assist with office and building maintenance, including ordering office supplies, assisting with mail, office equipment, facility maintenance reports, and coordination of room use/reservations.
  • Assist with CHS events related to foster care to permanency services as needed.
  • Assist as needed for Hub support coverage or as assigned.
  • Provide assistance to clients and other visitors in the office area.
General Responsibilities
  • Perform other duties related to program goals and projects as needed.
  • Display sensitivity to the service population’s cultural and socioeconomic characteristics.
  • Process and file documentation within set time frames.
  • Attend/participate in Hub team meetings and Support team meetings (in person or via Teams).
  • Contribute to a positive, engaging work environment.

  • Develop a strong knowledge base and stay current on job‑related issues and trends.
  • Participate actively in departmental meetings, training and education, as well as the quality process.

Qualifications

Education, Licenses &

Certifications:

Some college experience required; four‑year college degree preferred.

Experience:

Minimum of two years’ office coordination experience preferred.

Competencies
  • Strong organizational skills; resources development and budget development experience a plus.
  • Strong skills in the ability to prioritize and multi‑task.
  • Strong working knowledge of human service systems for youth, young adults, and families and an ability to bring together and collaborate with diverse community partners.
  • Excellent oral and written communication skills with proven effective organizational and time management skills.
  • Intermediate computer skills (Microsoft Applications as well as electronic data systems, time sheets, expense reports, use of virtual platforms for meetings).
