Public Private Strategies, LLC (PPS) seeks an Executive Assistant to act as a trusted right hand to the Executive Leadership Team (ELT), owning their schedules and managing both internal and external meeting requests. This role reports to the Chief Operating Officer (COO) and works closely with the entire ELT.

Key Responsibilities:- Maintain master schedules and details for calls, appointments, and meetings
- Manage the CEO’s calendar, travel, and correspondence — protecting time for priorities and ensuring the executive is fully prepared for every commitment
- Operate effectively in a fast‑paced, high‑volume, and fluid environment: the CEO and executive team's schedules can shift multiple times a day, and this role requires constant re‑prioritization without losing track of what matters most
- Manage logistics for meetings and events proactively, prioritizing conflicting needs under tight deadlines, updating constantly shifting calendars, and communicating last‑minute changes to internal and external teams and attendees
- Handle confidential information with discretion and sensitivity
- Collaborate with the team to prepare the ELT for meetings, events, conferences, and speaking engagements by compiling reports, notes, and relevant information as needed
- Provide ongoing scheduling support for the Executive Leadership Team
- Prepare agendas, briefings, talking points, and follow‑up materials for internal and external meetings
- Serve as the primary point of contact for scheduling requests from internal and external stakeholders
- Plan schedules, build in balance throughout the day, and optimize time by prioritizing conflicting requests and resolving them
- Communicate schedule changes and updates promptly and professionally
- Keep a forward‑looking eye on the calendar and flag upcoming travel, events, or commitments that need preparation
- Support planning and execution of events, convenings, and stakeholder gatherings
- Draft correspondence and communications on behalf of ELT members as needed
- Manage information flow on executives' activities to relevant staff, keeping the right people informed
- Take leadership over internal team meetings including gathering inputs from executive leadership teams to prepare and facilitate the weekly/monthly/quarterly recurring internal meetings
- Manage CRM inputs in Every Action including for events and ELT interactions
- Provide general administrative support as required, including drafting presentations, meeting agendas, and general correspondence
Experience:
- 6+ years of experience as an Executive Assistant supporting a senior executive, director, or government official in a fast‑paced environment — this is a senior‑level role
- Exceptional written communication and strong organizational skills, with high attention to detail; you write clearly and concisely and can match the voice of the executive you support
- Ability to manage high‑pressure tasks, large workloads, and tight deadlines
- Proficient with Google Workspace (Gmail, Calendar, Drive, Docs)
- Proactive working style and proven expertise managing complex international and domestic schedules and travel itineraries, including frequent modifications and scheduling conflicts.
