The Sales Executive Administrative Assistant provides high‑level administrative and operational support to the Sales Executive and broader sales team. This role is responsible for coordinating communication, managing schedules, preparing sales materials, and ensuring the smooth execution of day‑to‑day sales operations. The ideal candidate is detail‑oriented, proactive, and capable of handling confidential information with professionalism.
Key Responsibilities Administrative & Executive Support- Manage calendars, schedule meetings, and coordinate travel arrangements for the Sales Executive.
- Prepare, edit, and organize documents, presentations, and reports.
- Handle incoming communications, respond to inquiries, and prioritize messages on behalf of the Sales Executive.
- Maintain organized records, files, and documentation.
- Assist in the preparation of proposals, quotes, contracts, and sales materials.
- Track sales metrics, update CRM records, and generate regular performance reports.
- Coordinate follow‑ups with clients, prospects, and internal teams.
- Support the onboarding of new clients by preparing necessary documentation.
- Serve as a liaison between the Sales Executive, clients, and internal departments.
- Facilitate communication to ensure the timely flow of information.
- Assist with organizing sales team meetings, setting agendas, and capturing meeting notes.
- Support the planning of sales events, conferences, webinars, and client meetings.
- Coordinate logistics for internal and external sales initiatives.
- Help manage special projects assigned by leadership.
- 5+ years of administrative or sales support experience (or related field).
- Knowledge of sales processes and workflows.
- Strong organizational and time‑management skills.
- Comfortable handling confidential or sensitive information.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software (e.g., Salesforce, Hub Spot).
- Ability to multitask, prioritize, and maintain professionalism in a fast‑paced environment.
- Standard office hours with occasional extended hours as needed for deadlines or events.
