Head Secretary Position
The Fergus Falls School District is seeking to fill a position of Head Secretary at our Area Learning Center. This position is scheduled 8 hours/day and works 200 days/year. The position requires additional days/hours for summer programs. The wage range for this position is $24.20 - $24.88/hour and the benefit package includes contributions towards health insurance, life insurance, long-term disability insurance, 403b, pension plan and both sick and personal leave.
POSITION SUMMARY:
Coordinates the daily administrative and operational functions of the Area Learning Center, ensuring efficiency, organization, and compliance. This role is vital in establishing a welcoming, supportive, and inclusive atmosphere for non-traditional students, families, and staff. Additionally, the secretary manages meticulous student records, attendance, and data tracking essential to ALC programming and regulatory requirements.
High school diploma (or equivalent) with two years of college or tech courses preferred. Demonstrate aptitude for the work to be performed including a high degree of office and computer skills. This should include working knowledge of office equipment. Experience with school finance and student accounting programs. Flexibility with work hours, ability to work with "at risk" teenagers. Available for health office training;
CPR training preferred. Such alternatives to the above qualifications as the board may find appropriate and acceptable.
Confidential secretary to the building principal and Area Learning Center Director. Delegates projects to other non-certified staff and experience works helper. Supervise students sent to the office for discipline or other reasons. Supervise, train, and assist office volunteers. Provide front-line communication to the public, parents, students and staff with their problems in a courteous friendly manner. Help to maintain a positive atmosphere in the office.
Manage incoming calls. Screen administration calls and forwarding those to other staff as needed. Handle all business in a confidential manner including following prescribed laws involving parental custody issues, prescription medications and other personal information. Involve the county social services, police liaison officer when necessary, based on district policies. The main contact person when the principal and Area Learning Center Director are out of the building.
Including making emergency contacts, handling parents, student and staff problems as directed by school policy/handbooks and the superintendent's office. Monitor visitors entering the building/supply badges as needed. Secure substitutes from compiled list, complete absence forms and maintains accurate records regarding staff absences. Collect and code time sheets for the district office. Coordinate Parent/Teacher Conference schedules. Schedule appointments twice a year.
Responsible for enrollment attendance records for MARSS reporting to Minnesota Dept. of Education Code and enter all student information into MARSS accounting; run reports and ensure accuracy of all student data. Initiate collection and maintenance of all student records. Reporting and recording grades and credits earned for all students in the seat based, club and independent study programs. Produce progress reports and report cards as necessary throughout the school year Producing tuition agreements for all students who qualify.
Collect and fax records for students entering and exiting. School Assessment Coordinator Complete all tasks outlined by the test vendor. Reconcile budget. Under direction of the principal, monitor the expenditures to ensure that the school remains within the budget. Verify accuracy of monthly activity audit by checking all charges against the accounts. Request adjustment of accounts that are inaccurate. Verify accuracy of accounts payable checks.
Providing information for the district finance manager as requested. Attend to the needs of students throughout the day. Under the direction of the Licensed School Nurse:
