The Office & Operations Manager runs the day-to-day administrative and operational engine of the practice. This role supervises administrative staff, supports providers, keeps office systems running smoothly, and makes sure the details — schedules, records, vendor relationships, patient experience — don't fall through the cracks. It's a hands-on role for someone equally comfortable solving a printer problem and building a better onboarding checklist.

Office Operations
- Oversee daily office operations and ensure policies/procedures are followed
- Maintain office supplies, equipment, and facility upkeep; coordinate vendor services
- Troubleshoot operational issues as they come up
- Supervise administrative staff, including hiring, onboarding, and training
- Monitor performance and manage staff schedules
- Coordinate provider onboarding, workspace assignments, and admin/equipment needs
- Oversee front desk operations and patient communication standards
- Help resolve patient concerns and maintain service quality
- Develop and maintain office procedures; identify workflow improvements
- Keep organized, accurate administrative and compliance records
- Process invoices and vendor payments; assist with payroll prep
- Monitor office expenses and maintain related financial records
- Lead office improvement projects and support implementation of new systems, tools, or operational initiatives
Required:
- 5+ years of office management, operations, or administrative leadership experience
- Supervisory experience
- Strong organizational, written, and verbal communication skills
- Ability to juggle multiple priorities and deadlines
- Proficiency with Microsoft Office and Google Workspace
- Experience in healthcare or behavioral health settings
- Experience with EHR systems
- Experience with project coordination
- Experience supporting accreditation or regulatory compliance processes (e.g., CARF, Joint Commission)
Full-time, Monday–Friday during standard business hours, with some WFH flexibility. Occasional additional hours based on operational needs.
