The Shipping and Receiving Coordinator provides coordination and support for the efficient operations of the Service Center. The Shipping and Receiving Coordinator interfaces frequently with peers and managers and occasionally with customers. This position includes a high volume of data entry and completes all tasks in compliance with applicable Federal, State, and Local Department of Transportation regulations as well as policies, practices and procedures.
The focus may be on either shipping or receiving responsibilities based on the Service Center’s level and location.
- Place 24‑hour advance notice calls to customers within assigned territories to inform them about next‑day service.
- Inform Client Services or Dispatchers of order changes.
- Verify outgoing shipments of supplies, equipment and materials.
- Identify materials received and complete appropriate paperwork.
- Sign manifests that end at the facility and create billing packets as needed.
- Enter order updates adding any required Transportation, Supplies, or Demurrage charges once the waste and documentation arrive at the facility.
- Obtain the 10‑day log from supervisor after the daily yard walk, review the log against the manifests tracking system, reconcile the reports, and copy and fill out the form using current day’s data.
- Manage inventory and orders of office supplies, including personal protective equipment (PPE) using the internal ordering website and obtain proper approvals.
- Review drivers’ data submitted via an electronic logbook to ensure compliance with DOT regulations for hours of service and other compliance requirements, verify information and notify the Transportation Supervisor or Manager of any violations.
- Maintain and compile information from drivers’ load sheets into one daily report for accurate inventory of warehouse supplies.
- Prepare necessary manifest and land disposal restriction forms and maintain associated filing systems.
- Compile and enter data and reports to manage logs and operational efficiency and to support decision making, including information about labor hours, equipment usage, consumption of material, quality control, types and quantities of labor and other aspects of operations.
- Create and edit reports, including incoming and outgoing daily, weekly, and monthly inventory reports.
- Maintain electronic and paper files, rosters, contact lists; accurately update files, reports, spreadsheets and documentation; sort and distribute mail.
- Perform other reasonably related tasks as assigned by management.
$22.00 hourly
Qualifications Basic Requirements- High School diploma or General Educational Development (GED) required.
- 1+ years of experience providing administrative support (e.g., payroll entry, generating reports, or bookkeeping/accounting experience).
- Experience using Salesforce, Preview, SPAK, and Steriwise, or similar systems.
- Experience with CORE and Intelligent Document Processing (IDP).
- Experience in administrative tasks and office management.
- Experience in hazardous waste management.
- Understanding of the waste management industry.
- Ability to interact with customers and manage SLAs and relationships.
- Intermediate skills in Microsoft Excel.
