Job Summary

We are seeking a detail-oriented, knowledgeable, and proactive Payroll & Benefits Administrator to join our Human Resources team. This individual will be responsible for managing and processing multi-state payroll, administering comprehensive employee benefits programs, and ensuring compliance with all federal and state regulations.

The ideal candidate is a self-starter who thrives in a fast-paced environment, understands the nuances of payroll compliance across multiple states, and can optimize systems and processes as the company grows.

Key Responsibilities Payroll Administration
  • Execute end-to-end payroll processing for weekly and bi-weekly cycles across multiple states, ensuring timely completion, accuracy, and compliance with all applicable regulations.
  • Ensure accurate earnings, deductions, and tax calculations.
  • Perform payroll reconciliation and variance analysis.
  • Administer garnishments, levies, and benefit deductions.
  • Maintain payroll records and employee data integrity.
  • Coordinate year-end payroll processing (w-2s, 1099s).
  • Ensure federal, state, and local tax compliance.
  • Prepare and distribute required payroll reports and summaries to leadership and finance departments.
  • Reconcile payroll data with accounting systems; assist in month-end close for payroll related journal entries.
  • Monitor changes in payroll-related legislation and initiate necessary updates to internal processes.
  • Strengthen internal controls and improve efficiency while developing and maintaining processes.
  • Oversee benefits programs, including health, dental, vision, life insurance, 401(k), COBRA, FMLA, and voluntary benefits.
  • Manage enrollment, changes, and terms within multiple benefit platforms and ensure accuracy of deductions in payroll.
  • Ensure compliance with ACA, HIPAA, ERISA, and other applicable benefits laws and regulations.
  • Provide clear and timely communications to employees regarding benefit offerings, open enrollment, and eligibility.
  • Reconcile monthly benefit invoices and resolve discrepancies with carriers and vendors.
  • Assist in the development of benefit-related policies and training materials.
Additional HR Support
  • Assist in onboarding and offboarding processes from a payroll and benefits perspective.
  • Interface with Associates, Managers and other personnel at various locations as necessary.
  • Partner with HR and Finance teams to support budgeting, forecasting, and workforce planning activities.
  • Prepare and submit required filings such as PCORI, COBRA notifications, NYFPL, and others as needed.
  • Support internal and external audits related to payroll, benefits, and HR compliance.
Qualifications
  • Bachelor’s degree in human resources, Business Administration, or related field.
  • Minimum of 3-5 years of experience in payroll and benefits administration.
  • Strong knowledge of multi-state payroll laws and tax regulations.
  • Experience with Paycor HRIS or similar payroll platforms required.
  • Strong attention to detail.
  • High level of confidentiality and integrity.
  • Excellent organizational and time management skills.
  • Ability to meet strict deadlines.
  • Effective cross-functional collaboration.
  • Strong communication and customer service skills.
  • Ability to work independently, manage multiple priorities, and meet strict deadlines.

  • Strong proficiency with Microsoft Office Suite.
Preferred Qualifications
  • CPP (Certified Payroll Professional) or PHR certification.
  • Prior experience managing payroll and benefits in a multi-state and multi-location environment.
  • Familiarity with regulations and practices in OH, NY, PA, MS.
