About the RoleWe are seeking a Payroll Specialist who is passionate about accuracy, compliance, and delivering a positive employee experience. This role is responsible for processing weekly payroll for both bargaining and non‑bargaining employees and plays a key part in ensuring employees are paid correctly and on time. The ideal candidate is detail‑driven, takes ownership of their work, and is comfortable working independently within established processes while collaborating closely with HR, Accounting, and Operations to resolve payroll questions and maintain data integrity.
Key Responsibilities- Process weekly payroll for bargaining and non‑bargaining employees, including collecting and reviewing electronic timecards
- Reconcile payroll on a weekly basis and resolve discrepancies promptly
- Maintain payroll entries such as direct deposits, pay changes, taxes, benefits deductions, garnishments, and child support orders
- Research and resolve payroll inquiries with a customer‑focused approach
- Monitor PTO accruals, holiday pay, and related balances
- Process manual checks, layoff checks, and ACH transfers as needed
- Support new hire payroll setup, including E‑Verify and Indiana New Hire reporting
- Maintain employee payroll documentation and personnel files with accuracy and confidentiality
- Coordinate and update annual union wage and benefit changes
- Process employment verifications and provide payroll reports to Accounting and leadership as requested
- Perform other related duties as assigned
- High school diploma or equivalent required; college degree in Accounting or related field preferred
- Minimum of 7 years of related payroll or accounting experience (degree may substitute for up to 4 years of experience)
- Strong working knowledge of payroll processing, payroll taxes, reconciliation, and internal controls
- Experience with automated payroll systems and ability to quickly learn new software
- Proficiency in Microsoft Word and Excel, including using Excel for payroll reconciliation and reporting
- Demonstrated ability to work independently, manage priorities, and meet weekly deadlines accurately
- Strong problem‑solving, critical‑thinking, and customer service skills
- Excellent communication and interpersonal skills; ability to work with employees at all levels of the organization
- Ability to lift up to 25 lbs. with or without reasonable accommodation
