Job Summary
Trane has a new exciting opportunity to join our organization as a Rental Project Administrator for the Great Lakes Service Rental group. This role is responsible for project setup and execution, managing documentation, costs, invoicing, and closing out each project under limited supervision.
Location- Grand Rapids, Livonia, Lansing, Flint, MI
- Columbus, Valley View, Cincinnati, Holland, Dayton, OH
- Fishers, South Bend, Fort Wayne, IN
- Louisville, Lexington, Bowling Green, KY
- Moon Township, PA
Monday to Thursday onsite;
Friday flexible work location based on project needs.
- Plan and review assigned projects, establish schedules, parameters, and procedures.
- Set up rental agreements in system based on transition documents.
- Maintain internal service process compliance.
- Investigate customer concerns, implement corrective actions, and communicate with stakeholders.
- Connect with customers and representatives, including building owners, mechanical contractors, subcontractors, and field support staff.
- Schedule and participate in internal project team meetings to ensure accurate information transfer.
- Validate cost to date and reconcile project data in the business system.
- Reconcile purchase order discrepancies to support service fulfillment.
- Review billing backlog and coordinate with Project Managers, HVAC field technicians, customers, and claims as necessary to resolve obstacles.
- Generate invoices, determine tax exemptions if applicable, and create purchase orders.
- Set up customer accounts, perform credit checks, and manage invoice disputes related to rentals.
- Produce monthly rental revenue forecasts.
- Issue subcontracts or collaborate with contract management on subcontract work.
- One-year certificate from college or technical school; or three (3)+ years of related experience and/or training; or equivalent education/experience.
- Participation in lean improvement activities.
- Strong communication skills and proactive, independent work style.
- Proven ability to prioritize tasks and meet tight deadlines in a high‑paced environment.
- Familiarity with HVAC system operation preferred, not required.
- Flexibility to work overtime/weekends as required.
Annual base salary range: $42,000.00 – $88,900.00. Compensation type: hourly. Incentive eligible:
