Office Administrator/ Coordinator
CRT Concrete Consulting has spent 25 years building a national reputation in concrete engineering, including mixture design, pavement, slab-on-grade, and superflat floor work, out of a small, founder-led practice based in Central Indiana. We are looking for someone who can own the financial, administrative, and project-coordination work that keeps it all moving. This is a part-time, mostly remote role for someone who wants flexibility.

CRT is a boutique technical consultancy. You’ll work directly with the company’s Principal and a small, technically sharp team on projects that span the country. The firm’s approach is built on long-term client relationships and deep engineering credibility, and that same directness carries into how the team works day to day.
Role SnapshotThe Office Administrator provides financial, administrative, and project coordination support to CRT’s leadership and team. You’ll manage day-to-day bookkeeping in Quick Books Online, keep projects and deadlines organized, and help make sure contracts, insurance, and proposals are handled with care. It’s a role built for someone who’s highly organized, trustworthy with sensitive information, and comfortable working independently.
What You’ll Own- Accurate, up-to-date financial records in Quick Books Online — customer setup, time and expense tracking, credit card reconciliation, and AP/AR support.
- Monthly payroll administration support, including 401(k) and cash balance plan contributions, in coordination with CRT’s accounting/payroll partner.
- Organized virtual project files in SharePoint and clear task/deadline tracking in Microsoft Planner.
- A reliable review process for incoming contracts, insurance certificates, and monthly proposal checks.
- Timely follow-up on the Principal’s correspondence, scheduling, and travel arrangements.
- Reconcile company credit cards and track expenses.
- Set up customers/sub-customers and monitor project and employee time tracking.
- Download, organize, and maintain project drawings and documentation.
- Compare incoming contracts against previously negotiated versions and flag differences for review.
- Coordinate with CRT’s insurance provider and obtain certificates of insurance as needed.
- Hands-on experience with Quick Books Online.
- Background in financial administration, bookkeeping, accounts payable/receivable, or accounting support.
- Proficiency with Microsoft Office tools including Planner.
- Strong organizational, time-management, and communication skills with sharp attention to detail.
- Proven ability to work independently, manage multiple priorities, and meet deadlines with limited supervision.
- Ability to maintain strict confidentiality of financial, employee, and company information.
- Previous office administration experience.
- Experience with payroll administration or financial reporting.
- Experience supporting project-based businesses (engineering, construction, or consulting).
- Experience coordinating contracts, insurance documentation, or proposals.
Qualified candidates must be based in Central Indiana. This role is primarily remote, with occasional in-person meetings on the northeast side of Indianapolis.
