Event Manager / Planner, Office Administrator/ Coordinator
Work Schedule: Full time in-person, Monday - Friday starting at 7:30AM
Reports To: Launch Fishers executive team
Job Summary
We are seeking a proactive and detail-oriented Events & Café Manager to oversee our event space and in-house coffee shop. This dual-focus role is the heartbeat of our daily operations: ensuring our event clients have a seamless experience while managing our morning coffee service.
The ideal candidate is a "people person" who enjoys variety in their workday, possesses strong organizational skills, and is comfortable wearing many hats, from drafting rental agreements to pulling espresso shots.
A Typical Day in the Role
A typical day in this role begins at 7:30AM, where your first priority is opening up the coffee shop. From 8AM to 12PM, you are the face of the space, crafting beverages for guests and managing the flow of the coffee shop while also keeping an eye on any events occurring in the building. Once the shop closes at noon, your focus shifts toward the event side of the business.
Afternoons are dedicated to the "big picture" logistics: you’ll spend your time responding to rental inquiries, conducting venue tours for prospective bookings, and coordinating with clients for upcoming events. Whether you are finalizing a floor plan for a corporate seminar or balancing the monthly beverage budget, your day is a dynamic mix of hands-on hospitality and strategic project management.
Key Responsibilities
1. Event Venue Management
- Client Relations: Act as the primary point of contact for prospective and booked clients; conduct venue tours and manage bookings.
- Logistics Coordination: Oversee the setup and teardown of event spaces; coordinate with external vendors (catering, rentals, etc.).
- Administrative: Manage rental agreements, invoicing, and calendar scheduling to ensure no overlaps.
- Technical Needs: Serve as the go-to for setup and troubleshooting of the event space AV systems.
2. Event Planning & Coordination
- Community Events: Assist in planning events for the benefit of the Launch Fishers community; execute logistics and coordination with members of the Launch Fishers executive team.
- Budget Management: Track expenses and manage expenses for community events.
3. Coffee Shop & Beverage Operations
- Daily Service: Open the coffee shop on weekday mornings and provide high-quality coffee and beverage service from 8AM – 12PM.
- Event Catering: Coordinate and prepare coffee/beverage setups specifically for on-site events.
- Inventory & Budgeting: Monitor stock levels, manage the shop budget, and place supply orders.
- Maintenance: Ensure all coffee equipment is cleaned and maintained according to health and safety standards.
Qualifications & Requirements
- The "Morning Person" Factor: Ability to consistently begin the workday by 7:30AM; some days may require a slightly earlier start due to event timings.
- Strong Communication: Excellent verbal and written skills for professional client interaction.
- Organizational Prowess: Ability to manage multiple projects (a morning coffee rush vs. a long-term event booking) simultaneously.
- Technical Aptitude: Comfort learning venue management, Google Suite, and Point of Sale (POS) systems.
- Resilient Under Pressure: Maintains a positive, steady temperament during high-pressure situations.
- Impact-Driven: A self-starter with a strong internal drive to be a high-utility contributor and deliver meaningful results.
- Work Experience: Previous experience in hospitality, events, or coffee is preferred but not required. We are willing to train the right person who has a strong work ethic and a desire to learn.
- Education: High School Diploma or GED required;
Associates or Bachelors degree preferred.
Physical Requirements
- Ability to stand for extended periods (during coffee shop hours)
- Ability to lift up to 30 lbs (moving event furniture or coffee supply shipments)
