SummaryUnder the supervision of the Loan Operations Note Desk Manager, performs a variety of loan servicing duties pertaining to the closing and post‑closing of all new loans and changes in terms. Boards loans on core processing system and disburses loan proceeds. Provides the highest level of quality customer service. The ability to learn quickly and adapt to change, along with excellent communication and product knowledge, are important skills for this role.
Dutiesand Responsibilities
- Complete funding, boarding, and post‑boarding activities for commercial and consumer loans in a timely and accurate manner.
- Assist with monthly certification under the direction of the Loan Operations Manager, including validation of all CRA and HMDA reportable loans; FHLB and BIC eligible loans. Perform loan file review for quality assurance.
- Resolve system issues that might impede loan closing and use judgment to involve next‑level management. Monitor and clear loan exceptions, process daily exception reports, weekly data integrity reports, and other data reports as needed. Perform system maintenance, research, and transactions as required.
- Process loan payments, payment reversals, auto‑payment maintenance, payoffs, paydowns, advances, maintenance, and non‑posted transactions.
- Ensure documentation accurately reflects the intentions of the credit approval. Complete post‑close closing steps to ensure that all necessary documentation is received. Perform review of loan system data integrity and critical coding (LTV, collateral codes, call codes).
- Scan loan documents for retention purposes, organizing documents according to naming conventions and system requirements.
- Maintain regular and predictable attendance; this is an essential function of the job.
- Comply with all company policies and procedures, applicable laws and regulations, including but not limited to the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
- Remain current on all regulatory changes affecting compliance. Follow interdepartmental procedures.
- Six months to two years of related experience.
- High school degree or equivalent required.
- Ability to prioritize workload to meet deadlines.
- Demonstrated effective interpersonal relationships and teamwork.
- Professional verbal and written communication skills.
- Thorough knowledge of office software. Proficiency in Word, Excel, PowerPoint, Internet Explorer, email, and calendaring.
Must be able to routinely perform work both indoors in a climate‑controlled shared work area with moderate noise level.
Physical DemandsRequired to sit, use hands in repetitive motions such as finger, grasp, handle or feel; talk or hear. Occasionally required to stand, walk, and lift or reach with hands and arms. Must be able to operate routine office equipment, including computer terminals, keyboards, telephones, copiers, fax machines, and calculators. Must be able to spend an average of 6–8 hours per day working on a computer, and may need to work extended hours or travel off site as requested.
Must be capable of regular, reliable, and timely attendance. Must be capable of climbing/descending stairs in an emergency. Lifts up to 10 lbs. Vision requirements include close visual acuity for tasks such as preparing and analyzing data, transcribing, viewing a computer terminal, extensive reading, visual inspection of small defects or using measurement devices at close distances.
