Role Description The Accounting Administrative Assistant is a full-time, on-site role located in Flint, MI. This position supports the accounting and office teams by processing invoices, managing billing documents, and assisting with accounts payable and receivable tasks. Daily responsibilities include maintaining accurate records, updating accounting software, preparing basic financial reports, and organizing files and documentation. The role also involves answering phones, handling correspondence, coordinating schedules, and assisting with general office duties to ensure smooth day-to-day operations.
The Accounting Administrative Assistant works closely with supervisors and project teams to support efficient financial and administrative workflows.
Qualifications
- Administrative Assistance skills, including document management, scheduling, and general office support
- Foundational Accounting and Finance skills to support billing, expense tracking, and basic reporting
- Experience with Accounting Software (Quick Books) and Invoicing processes for accurate data entry and recordkeeping
- Strong attention to detail, organizational skills, and ability to manage multiple tasks and deadlines
- Proficiency in standard office software (e.g., Microsoft Office or similar) and comfort with learning new systems
- Effective written and verbal communication skills and a professional, customer-focused approach
- Ability to form and enter journal entries monthly (you must know the natural account balance of all accounts
- Ability to accurately fill out project paperwork for AIA’s, Lien Waivers and Sworn Statements
- Ability to be able to do job costing
- Ability to understand over/under billings
- Compile and do full processing of internal payroll in conjunction with the CPA firm
- Other duties as assigned, this will be a crossed trained position
- Ability to work on-site in Flint, MI and collaborate with construction and office teams
- Associates Degree in Account or equivalent required; additional coursework or experience in accounting or office administration is beneficial
