Purchasing Specialist

The Purchasing Specialist is responsible for the creation and management of purchase orders and for serving as the primary liaison with freight partners on behalf of the Renovation Brands supply chain team. This role owns the transactional mechanics of procurement - issuing and tracking POs, coordinating inbound freight, resolving shipping and invoice discrepancies, and maintaining accurate purchasing records - allowing the Director, Demand Planning & Supply Chain Management to focus on strategic sourcing, vendor relationships, and brand-level planning.

Location:

On-site – Florence, AL. (Potential for Hybrid 2-3 days per week)

Reports to:

Director, Demand Planning & Supply Chain Management @ Renovation Brands.

Hourly Rate: $22.00 - $23.00 per hour (experience & interview performance will determine actual number within the range).

Schedule:

Full-time, 40 hours, M-F. 1st shift.

What You'll DoPO Creation & Management
  • Create, issue, and manage purchase orders in the company's ERP system in accordance with approved requisitions
  • Track all open POs through the full lifecycle - from issuance to receipt confirmation and closure
  • Confirm order acknowledgments with vendors and resolve discrepancies in pricing, quantities, or delivery dates
  • Maintain up-to-date PO logs and ensure all orders are properly documented, filed, and accessible
  • Process change orders and cancellations promptly as directed
Freight Partner Liaison
  • Serve as the primary point of contact with freight carriers, brokers, and logistics partners for all inbound shipments
  • Coordinate pickup and delivery scheduling with freight partners, vendors, and warehouse receiving teams
  • Track inbound shipments in transit and proactively communicate status updates to the Supply Chain Analyst and Director
  • Resolve freight exceptions, delays, and claims in coordination with carriers and vendors
  • Obtain and verify shipping documentation including BOLs, packing lists, and proof of delivery
Vendor Communication
  • Maintain day-to-day contact with vendors on order status, shipping timelines, and documentation requirements
  • Obtain compliance documentation including COAs, certificates of insurance, and import/export paperwork as needed
  • Escalate vendor performance issues or supply risks to the Director in a timely manner
Invoice & Payment Processing
  • Review vendor invoices for accuracy against purchase orders and flag discrepancies for resolution
  • Submit approved invoices to accounts payable and track payment status
  • Assist with vendor statement reconciliations and resolve billing disputes
  • Maintain accurate records to support month-end close and audit requests
Administrative & System Maintenance
  • Keep vendor contact information, freight carrier details, pricing files, and lead time data current in internal systems
  • Maintain organized records of contracts, pricing agreements, and compliance documentation
  • Support preparation of purchasing and freight spend reports as requested
  • Assist with new vendor and carrier setup including collecting W-9s, insurance certificates, and onboarding forms
What We're Looking For
  • 2+ years of experience in purchasing, procurement, logistics coordination, or a related administrative role
  • Hands-on experience creating and managing purchase orders in an ERP or purchasing system
  • Familiarity with freight and logistics operations including carrier coordination and shipment tracking
  • Proficiency in Microsoft Office, particularly Excel and Outlook
  • High attention to detail, strong organizational skills, and ability to manage a high volume of transactions
Preferred Qualifications
  • Associate's or Bachelor's degree in Business, Supply Chain, Logistics, or a related field
  • Experience working directly with freight brokers, carriers, or 3PLs
  • Familiarity with basic accounting concepts including 3-way match and invoice reconciliation
  • Experience in retail, distribution, or home improvement product categories
  • Working knowledge of import/export documentation
