Job Summary
Under direct supervision, accounting‑type work of moderate difficulty with an emphasis on accounts payables, accounts receivables, financial accounting functions, and utility billing and collections.
SupervisionThis position has no supervisory responsibility.
Duties & Responsibilities- Support the Town’s vision and role‑model behaviors: cultivate a positive work environment, provide quality customer service, maintain productive relationships, prioritize manageable goals, be efficient with time, communicate effectively, and take constructive criticism.
- Support compliance: follow internal procedures and external regulations, bring compliance issues to management, collaborate to meet position requirements, and adhere to safety rules.
- Process cash, checks, and credit‑card payments; balance daily cash and reconcile to cash reports; maintain daily deposit logs.
- Process accounts payable weekly: prepare financial documents and records, ensure accuracy, completeness, timeliness, and forward for review, approval, and processing.
- Process required 1099 and 1096 forms; send and file forms when due.
- Process accounts receivable (excluding those for Utility Billing): generate and send invoices to customers for billable services, track and reconcile balances with the general ledger, follow up on delinquent accounts, and notify supervisors when accounts become significantly overdue.
- Understand Utility Billing and collection processes; manually calculate bills for adjustments; input rates into billing software; identify discrepancies in billings and general ledger accounts.
- Understand Community Facilities District assessment billing and collection processes: set up new assessment accounts, prepare annual billings, handle early pay‑offs, provide information to realtors and citizens, and balance monthly reports to the general ledger.
- Perform all other related duties as assigned.
High School Diploma or GED plus college coursework in Bookkeeping, Accounting or a closely related field; and one (1) to two (2) years of experience in computerized accounting including accounts payable; or any equivalent combination of training, education and experience that demonstrates the ability to perform the duties of the position.
Certificates, Licenses, Registrations- Must have and maintain a valid Arizona Driver’s License.
Ability to work the required schedule and to handle a fast‑paced environment with multiple competing tasks, and to seek supervisory assistance as appropriate.
Skills & Abilities- Competent in applying standard procedures to routine transactions; raise questions about unusual items and make suggestions.
- Use logical and creative thought processes to develop solutions according to written and oral instructions.
- Apply bookkeeping principles for customer accounts, financial reports, and related duties.
- Communicate effectively both orally and in writing.
- Analyze and interpret policies and procedures.
- Self‑starter who can work independently and with teams.
- Establish and maintain effective working relationships with employees, supervisors, and the public.
- Present information and respond to questions.
- Handle sensitive and confidential information with poise, tact, and diplomacy.
- Strong attention to detail and organization.
- Perform simple arithmetical computations quickly and accurately.
- Write general correspondence, memorandums, and reports.
- Maintain records efficiently and accurately.

The employee is required to talk, hear, and efficiently operate a Personal Computer; sit regularly; use hands to handle objects; reach with hands and arms; lift or move up to 25 pounds; and maintain close vision and manual dexterity. Standard office equipment such as a personal computer, telephone, copier, 10‑key calculator, and fax machine require continuous repetitive arm or hand and eye movement.
The work is performed in an office environment with moderate noise level.
