Job Description Summary
This individual professionally represents Ohio Health when greeting internal customers, clients, guests, and vendors. The role requires a polished, articulate, forward‑thinking professional who anticipates needs and solves problems quickly and accurately.
Responsibilities and Duties- Calendaring: Provide basic daily calendar support to multiple leaders; schedule simple one‑to‑one and mid‑size group meetings using open calendars.
- Communication Delivery and Management: Greet callers appropriately, receive and screen calls, manage and delegate information requests, and prepare correspondence using MS Office for presentations, memos, research, and proofreading.
- Meeting Preparation and Management: Create and distribute agendas, send meeting invitations, coordinate and order catering, gather and disseminate meeting materials, and make audio/visual arrangements.
- Fiscal Support: Accurately process purchase orders and work with Accounts Payable, Procurement, and other fiscal offices using enterprise software systems such as People Soft or Workday.
- Technology Application: Leverage and stay current on new or updated technologies introduced by the organization, operating specialty software and providing guidance to leaders as needed.
- Document Management: Manage paper and electronic records, coordinate network/shared drives, organize and retrieve information timely, and securely manage confidential information while following Ohio Health records retention policies.
- Service Delivery: Anticipate leaders’ needs, interact with customers, peers, and associates with leaders in mind, and balance autonomy with teamwork when supporting multiple leaders.
- Confidentiality and Discretion: Ensure privacy and security of information, and adhere to all information, privacy, and security policies, procedures, standards, and guidelines.
- General Office Support: Answer phones, direct calls, greet visitors; order office supplies; manage maintenance of multifunction devices and other office equipment; organize kitchen/breakroom; and distribute mail.
- Other Duties: Perform additional tasks as assigned or required.
- High Reliability Organization (HRO) Requirements: Focus on safety, quality, and efficiency in performing job duties.
- High School diploma or GED (required).
- 2–4 years of progressive office experience or demonstrated related administrative experience.
