- Assist with applicant tracking and hiring process.
- Complete and process new employee paperwork and new employee orientation.
- Ensure employees are offered and enrolled in all benefit programs offered by the facility in a timely manner.
- Maintain accurate employee deductions and pay.
- Answer employee questions concerning payroll, benefits, and human resource issues in a prompt and professional manner.
- Maintain an adequate personnel filing system.
- Maintain and update employee records and forms.
- Ensure all employee information is kept up to date (status changes, terminations, etc.).
- Process payroll and applicable reports.
- Complete timesheet review.
- Track employee raises, bonuses, paid time off, and other required hours reporting (Payroll Based Journal).
- Complete worker’s compensation, OSHA, and employee incident reporting, as assigned.
- Maintain attendance records, warning notices, counseling, and other disciplinary action of employees.
- Track and ensure compliance with all employee leaves of absence (FMLA, worker’s compensation, military, etc.)
- Perform Accounts Payable and other accounting duties as assigned by the administrator.
- Maintain all office equipment and supplies in good working order.
- Assist with general office duties (meal tickets, mail, filing, postage, telephone, greeting visitors, etc.) as assigned.
- Help create an atmosphere of optimism, warmth, and interest for employees, residents, families, and visitors.
- Participate in facility committees and audits as needed.
- Follow the Code of Conduct and ensure compliance with laws and regulations governing this facility’s operations.
- Maintain privacy and confidentiality of all employee and resident information.
- Attend work and report in a timely manner for scheduled shifts.
- Perform other duties as assigned by the supervisor and/or administrator.
- Proficient in the use of Microsoft Office products, the facility’s Human Resources Information System (HRIS), any accounting or accounts payable systems, or other programs or systems that are applicable to the area of assignment.
- Ability to communicate effectively and appropriately with employees, vendors, residents, families, and visitors.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar including the ability to comprehend written sentences and paragraphs in work related documents.
- Ability to manage time and be efficient and effective in the completion of assignments.
- Knowledge of arithmetic and their applications specific to the position.
- Ability to operate standard business equipment: fax, copiers, printers, computers, etc.
- Ability to handle sensitive documents or other confidential information.
- Ability to recognize and respond to the needs of employees and residents.
- Ability to maintain a positive, upbeat, and encouraging attitude toward employees, vendors, residents, families, and visitors.
- Ability to function in the health care team as a resident advocate.
- Must not pose a direct threat to the safety or health of self or others.
- Ability to make prompt and accurate judgments with regard to job duties.
- Ability to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
- Ability to look at a computer screen for long periods of time.
- Ability to communicate via telephone.
- Ability to sit for long periods of time.
- Manual dexterity that allows for the ability to type, sort documents, file.
- Ability to move boxes of files, office and facility supplies, etc. The objects to lift, carry or move could weigh up to 15 or 20 pounds.
