Position Summary

The Evaluation and Grade Data Management Coordinator provides operational leadership for the management, integrity, and flow of evaluation, assessment, and grade data across all four years of the MD curriculum at UGA School of Medicine. The coordinator administers evaluation and assessment processes, manages grade workflows, and ensures compliance with institutional policies.

Minimum Qualifications

Bachelor’s degree in a related field or equivalent and 2 years of professional experience.

Preferred Qualifications
  • Bachelor’s degree in education, data management, analytics, health sciences, administration, or a related field; or an equivalent combination of education and relevant experience
  • Three (3) or more years of experience managing academic data, evaluation processes, or similar workflows
  • Demonstrated experience working with educational data systems or databases
  • Experience handling confidential or high‑stakes academic records with accuracy and discretion
Duties / Responsibilities Evaluation and Assessment Administration (One
45)
  • Administer, schedule, distribute, and monitor all course, faculty, and student evaluations within One
    45 and other relevant evaluation platforms for all four years of the MD curriculum
  • Maintain and update evaluation and assessment forms, rubrics, and instruments in collaboration with curricular leadership
  • Track completion rates and follow up with stakeholders to ensure timely data collection
  • Ensure data accuracy, integrity, and appropriate use of evaluation results
  • Facilitate logistics, process, and scheduling for course and clerkship evaluation focus groups

Percentage of time: 40%

Grade Data Management and Workflow Coordination
  • Manage the collecting and flow of grade data from multiple sources, including examinations, rubric‑based assessments, and other evaluation tools for all four years of the MD curriculum
  • Maintain centralized, working grade books for leadership review and approval
  • Reconcile data discrepancies and ensure consistency across systems
  • Post finalized grades into official grade books and platforms and ensure compliance with institutional timelines and policies
  • Intervene and troubleshoot with grade data flow problems

Percentage of time: 30%

Data Quality Assurance, Reporting, and Governance
  • Perform quality checks on evaluation and grade data to identify errors or gaps
  • Generate routine and ad hoc evaluation reports to support assessment review and decision‑making for the Curriculum Oversight Committee and curriculum leadership
  • Collaborate with the Assistant Dean for Assessment and Evaluation to interpret data trends and support continuous improvement
  • Ensure secure handling and appropriate access to confidential academic data
  • Recommend process improvements and identify systematic data issues
  • Facilitate distribution of faculty evaluation reports to faculty, and to educational/curricular leadership

Percentage of time: 20%

General Curriculum Operations Support
  • Support Office of Curriculum projects and initiatives as needed, engage in special events as needed
  • Adapt to evolving evaluation policies, assessment strategies, and institutional requirements
  • Create reports and provide data as needed for curricular decision‑making, quality improvement, and for accreditation
  • Support curriculum operations as required
  • Other duties as assigned

Qualifications
  • Experience in medical education or health professions education
  • Direct experience administering One
    45 evaluations or similar assessment platforms
  • Experience managing grade workflows and compiling data from multiple assessment sources
  • Advanced proficiency in Excel or similar data management tools
