Description
General Responsibilities:
Responsible for keying all invoices and journal entries for the college, in a timely manner. Process student refunds checks and electronic files to third‑party vendors. Responsible for verifying payment and disbursing payment to vendors and college personnel for a budget in excess of $40,000,000; responsible for all project accounts payable and for the safeguarding of all Accounts Payable records, and for scanning all journal entries into the storage software.
Prepare reports required by management and auditors.
- Coordinate all data entry into the College's computerized finance system and run computer processes to post feeds from Payroll, Purchasing, AP and the Student System, invoices and encumbrances, and produce all AP and student checks. Key in all journal entries in a timely manner. Backup to Shipping and Receiving for accepting purchase orders so that invoices are paid in a timely manner.
- Set parameters and run reports for Finance Director and management as needed and at required times; run reports such as check rosters as required. Responsible for the safeguarding of all the financial reports and transaction records.
- Establish timetables and coordinate with appropriate staff for writing checks, posting electronic feeds, reporting and closing. Prepare and process payments (checks, ACH, wire transfers, purchasing card, etc.). Upload files to the bank for processing accounts payable checks and student refunds. Reconcile financial aid transfers.
- Resolve software and hardware problems with the Information Technology department. Respond to vendor inquiries and resolve payment issues. Ensure compliance with college policies and accounting procedures.
- Assist with month‑end and year‑end close activities. Improve AP processes for efficiency and accuracy. Responsible for training the backup person.
- Perform other duties as assigned by the Finance Director.
Minimum Requirements
A high school diploma and relevant experience. An associate's degree or bachelor's degree in related field may be substituted for the required work experience.
Preferred RequirementsAssociates Degree in Accounting or related field and three years experience in Accounts Payable; must have a good working knowledge of computer systems. Candidate should have good analytical skills, good math skills, and accurate data entry skills. Candidate should be able to work well within many time frames; should have good general accounting, telephone, and organizational skills. Should be knowledgeable with integrated software packages, imaging systems, Excel and securely importing/scanning/uploading data to internal and external systems.
Proficient in working with data record layouts and troubleshooting technology issues. Experience in analyzing accounts payable and possess excellent communication skills. Dependability and good customer service skills are also important abilities for this job.
Thirty‑Seven and one‑half (37.5) hours Monday - Thursday, 8:00 am - 5:30 pm, Friday, 8:00 am - 11:30 am.
