Administrative Assistant
Administrative Assistant will support the Executive Director and wider team. Responsible for maintaining the smooth operation of the organization by handling meeting documentation, managing executive scheduling, overseeing scholarship application intake, and maintaining the organization's CRM data.
Job Functions- Meeting Support & Documentation
- Attend and take clear, concise minutes at board, staff, and committee meetings.
- Distribute minutes and ensure follow-up on action items.
- Scholarship Application Intake
- Manage the intake and tracking process for scholarship applications.
- Communicate with applicants to ensure completion and submission of required materials.
- Organize and prepare materials for scholarship review panels.
- Executive Schedule Management
- Coordinate and manage the Executive Director's calendar, including meetings, travel, and appointments.
- Prioritize scheduling conflicts and ensure efficient time use.
- CRM Management
- Enter and update data in the organization's Customer Relationship Management (CRM) system.
- Ensure data accuracy and integrity across contacts, donors, and program participants.
- Generate reports and assist in analyzing CRM data to support program and development efforts.
- File Management
- Maintains accurate files
- Catalogs locations of physical files
- Assists in Fundraisers
- Preparation and distribution of annual giving campaign items
- Attend and record Legacy Ball meetings, assist in all preparation
- Attend all events
Minimum Requirements:
- Associate's degree in business, or related field.
- Minimum of two years' experience in an administrative or executive assistant role; preferably in a nonprofit or educational setting.
- Strong written and verbal communication skills.
- Proficiency in CRM platforms (Raiser's Edge, Sales Force) and Microsoft Office Suite.
- Excellent organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Experience taking meeting minutes or similar documentation is preferred.
- Excellent written and verbal communication skills.
Days and times may vary; will work no more than 27 hours per week. Occasional evening or weekend meetings.
