This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Spartanburg Area Mental Health Center, 250 Dewey Ave, Spartanburg, SC 29303.

The Administrative Coordinator provides comprehensive, high - level executive support and board governance oversight while serving as an operational extension of the leadership team. This role functions as the primary liaison between the Executive Director, the Board of Directors, and community partners. The position focuses heavily on executive workflow planning, compliance, data collection, Strategic communication, and community event coordination to protect the center's standing and advance its community mission.

Responsibilities

for the Administrative Coordinator:
  • Strategic Liaison:
    Serve as the Primary assistant to the Executive Director and the Board of Director and the Board of Directors, ensuring seamless flow of information between agency leadership and the governing board. Executive Inbox Management:
    Access and monitor executive email accounts to track priorities, flag urgent communications, and proactively manage calendar planning and scheduling. Governance Recording:
    Acts a Board Secretary, recording and transcribing precise, official minutes for the Board of Directors, Corporate Compliance, and Executive Committee meetings to meet state audit and public transparency requirements. Logistical Planning:
    Manages the executive team's complex scheduling via virtual platforms. (Zoom/Teams) and coordinates travel arrangements.
  • CARF Compliance Support:
    Serve as a primary data collector for CARF (Commission on Accreditation of Rehabilitation Facilities) accreditation standards across the facility. Metric Tracking:
    Comply, organize, and review internal performance indicators, clinical outcomes, and health records data to report to support quality assurance audits. Reporting Support:
    Assist the executive team in preparing data dashboards, tracking compliance timelines, and compiling evidentiary documentation required for successful re-accreditation cycles.
  • Community Engagement:
    Act as a community communicator and coordinator, building and maintaining active relationship with local organizations, health agencies, and civic partners. Event Organizing:
    Plan, promote, and organize local public relations initiatives, resource fairs, and community development events to expand the center's outreach footprint. Survey Administration:
    Develop, distribute, and collect community feedback surveys to gather localized public opinions, evaluate event success, and identify unmet behavioral health needs in the area. Public Relations Support:
    Draft and coordinate external correspondence, media announcements, and educational materials under the guidance of executive leadership.
  • A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may substituted for the required work experience.
  • Bilingual abilities in English and Spanish (or another language) are a plus.
Post hire, employees must have:
  • Strong familiarity with healthcare data collection, quality assurance practices, and accreditation frameworks such as CARF.
  • Advanced Microsoft Office skills (Word, Excel, Outlook, and Teams.
  • Excellent written and verbal communication skills.
  • The ability to accurately record and transcribe meeting minutes.
