An entry-level, operations-focused Associate Project Manager role supporting the coordination and execution of high-volume healthcare programs. This position is best suited for early-career professionals with strong administrative, organizational, and follow-through skills who are interested in medical or pharmaceutical program logistics. The role emphasizes execution, compliance, and coordination rather than strategic project management or marketing.

RESPONSIBILITIES
  • Coordinate end-to-end logistics for a large volume of healthcare-related programs, including both virtual and in-person events.
  • Identify and secure appropriate venues while ensuring audiovisual and technical requirements are met.
  • Arrange and manage speaker travel, including flights, ground transportation, lodging, and detailed itineraries.
  • Support virtual program execution by moderating online sessions and managing real-time logistics.
  • Prepare and distribute program communications such as invitations, confirmations, and follow-up materials.
  • Collect, track, and maintain required documentation from speakers in compliance with regulated industry standards.
  • Enter and manage attendee data, process payments and expenses, and reconcile program costs for accurate closeout.
  • Serve as a primary point of contact for clients, healthcare professionals, and internal teams, responding promptly and professionally.
  • Provide general administrative and operational support as needed to ensure program success.
QUALIFICATIONS
  • Early-career professional with exposure to healthcare programs, medical meetings, event coordination, or regulated administrative environments.
  • Demonstrated ability to manage multiple concurrent tasks in a fast-paced, high-volume environment.
  • Exceptional attention to detail and strong organizational skills are essential.
  • Clear interest in a career path focused on medical or pharmaceutical program coordination.
  • Strong written, verbal, and phone communication skills with comfort interacting with healthcare professionals.
  • Proficiency with common office software (email, documents, spreadsheets, presentations) and financial or expense-tracking systems.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Flexibility to support programs outside of standard business hours when required.
