Salary Range: $70,000-$75,000/year
We are seeking a highly detail-oriented and dependable professional to support the current Administrative Assistant/Office Manager and provide direct assistance to the Company President. This role is critical to the day-to-day financial, administrative, and compliance operations of the firm. The ideal candidate will be organized, proactive, and comfortable handling confidential information, multiple deadlines, and a wide range of responsibilities.
What you will be doing:- Review employee timesheets on a weekly basis.
- Upload payroll data to the payroll website on a bi-weekly schedule.
- Reconcile accounts, including bank accounts, credit cards, and EZ-Pass, on a monthly basis.
- Report employee hours worked to government agencies on a monthly basis.
- Process and pay company bills on a weekly basis.
- Prepare and issue project invoices on a monthly basis.
- Prepare and organize financial files for the tax accountant annually.
- Order office supplies as needed to support daily operations.
- Review incoming project contracts for accuracy and completeness.
- Maintain and manage company insurance policies.
- Submit annual disadvantaged business program paperwork for multiple states.
- Assist with formatting and organizing project reports.
- Maintain and track project budget information.
- Complete the annual NJDOT settle-up report.
- Complete payment audits, required by various government agencies.
- Other projects as required by the business.
- Must have a bachelor’s degree in math/computer science/accounting or a related field.
- Quick Books Online experience is REQUIRED.
- The candidate must be highly organized and able to manage multiple tasks and deadlines efficiently.
- Administrative and Office Management preferred.
- Candidate must successfully pass a background check.
