Administrative Assistant/Office Manager

Hours:

7:30am – 3:30pm

Salary Range: $70,000-$75,000/year

We are seeking a highly detail-oriented and dependable professional to support the current Administrative Assistant/Office Manager and provide direct assistance to the Company President. This role is critical to the day-to-day financial, administrative, and compliance operations of the firm. The ideal candidate will be organized, proactive, and comfortable handling confidential information, multiple deadlines, and a wide range of responsibilities.

What you will be doing:
  • Review employee timesheets on a weekly basis.
  • Upload payroll data to the payroll website on a bi-weekly schedule.
  • Reconcile accounts, including bank accounts, credit cards, and EZ-Pass, on a monthly basis.
  • Report employee hours worked to government agencies on a monthly basis.
  • Process and pay company bills on a weekly basis.
  • Prepare and issue project invoices on a monthly basis.
  • Prepare and organize financial files for the tax accountant annually.
  • Order office supplies as needed to support daily operations.
  • Review incoming project contracts for accuracy and completeness.
  • Maintain and manage company insurance policies.
  • Submit annual disadvantaged business program paperwork for multiple states.
  • Assist with formatting and organizing project reports.
  • Maintain and track project budget information.
  • Complete the annual NJDOT settle-up report.
  • Complete payment audits, required by various government agencies.
  • Other projects as required by the business.
What experience we are looking for:
  • Must have a bachelor’s degree in math/computer science/accounting or a related field.
  • Quick Books Online experience is REQUIRED.
  • The candidate must be highly organized and able to manage multiple tasks and deadlines efficiently.
  • Administrative and Office Management preferred.
  • Candidate must successfully pass a background check.
