Position Overview
IT Operations & Portfolio Specialist supports the CIO organization by coordinating IT operational, financial, procurement, and portfolio management activities across the enterprise IT function, ensuring accurate tracking of IT spend and value realization, supporting demand intake and prioritization, and driving alignment between IT funding, procurement activities, and enterprise priorities.
Key ResponsibilitiesIT Financial Management & Governance
- Support annual IT budgeting and forecasting processes (OpEx and Cap Ex).
- Track actuals vs. budget and produce variance analysis and reporting.
- Maintain financial visibility across IT spend and value realization (applications, infrastructure, security, data).
- Support monthly, quarterly, and year‑end financial close activities with Finance: track accruals, commitments, and financial obligations.
- Validate invoices in coordination with Accounts Payable to ensure financial accuracy, compliance, and governance controls.
- Coordinate purchase requisitions (PRs), purchase orders (POs), and change requests.
- Partner with Procurement and Finance on contract tracking, renewals, and vendor onboarding.
- Ensure alignment across contracts, POs, and invoices.
- Track vendor spend, commitments, and purchasing activity.
- Administer IT Procurement Card (PCard) program.
- Monitor and reconcile transactions and ensure compliance with procurement policies and controls.
- Support expense coding, documentation, and approvals.
- Coordinate monthly reconciliation and audits with Finance.
- Support audit readiness for procurement and financial processes.
- Facilitate IT demand intake across all domains (Applications, Infrastructure, Security, Data).
- Maintain portfolio tracking, demand pipeline, and initiative inventory.
- Support prioritization and governance discussions with IT leadership.
- Develop and maintain portfolio dashboards for CIO visibility.
- Ensure transparency across demand, funding alignment, and execution status.
- Support coordination of CIO office activities (town halls, leadership meetings, key events).
- Support development of executive presentations and reporting packages.
- Assist with travel, expense coordination, and administrative support for the CIO.
- Act as liaison between CIO office, IT teams, Finance, Procurement, and corporate functions.
- Develop and maintain dashboards (financials, portfolio health, demand pipeline).
- Track KPIs across IT spend, portfolio performance, and demand flow.
- Identify process gaps and support continuous improvement initiatives.
- Ensure accuracy, consistency, and timeliness of reporting.
- 4–7 years of experience in IT operations, IT business operations, PMO, or financial coordination.
- Experience supporting IT budgeting and financial tracking (OpEx/Cap Ex).
- Strong Excel and reporting skills (pivot tables, dashboards, financial models).
- Experience working cross‑functionally with IT, Finance, and Procurement.
- Familiarity with procurement processes (POs, invoicing, expense reconciliation).
- Strong organizational and stakeholder management skills.

- Familiarity with tools such as Service Now, Coupa, or Ariba.
- Experience supporting CIO or IT leadership operations.
- General understanding of enterprise IT domains (applications, infrastructure, security, data).
- Ability to leverage AI tools to improve productivity and operational efficiency.

The pay range for the primary location of this position is: $62,700 - $83,400 USD. The final salary offered will be determined based on experience, education, geographic location, and other factors.
