Responsibilities- Performing accounting functions associated with the auditing and scheduling of payments to vendors, providers, and other agencies.
- Recording, collecting, reconciling, reporting, research, and maintaining accounting records.
- Tracking all unpaid vouchers to ensure proper posting by the Department of Financial Services, State of Florida.
- Monitoring pending invoices for compliance with Prompt Payment Compliance. Inform supervisor in a timely manner of all pending invoices that are 15 days old per the three transaction criteria as established by state law. Adequately document circumstances, which may have caused a disbursement transaction to be over 20 days.
- Auditing & preparing invoices for payment by obtaining and auditing supporting documentation, including purchase orders, contracts, and journal transfers, receiving report, correspondence, etc. Select correct transaction and key it into AOD or FLAIR.
- Processing returned and deleted vouchers from the Department of Financial Services.
- Analyzing disbursement data and recording the appropriate transaction in AOD and FLAIR systems.
- Producing vouchers for submission to Department of Financial Services for payment.
- Knowledge of accounting principles, practices and procedures.
- Proficient in use of Microsoft Office Applications (Excel, Word, Outlook)
- Ability to understand and apply applicable rules, regulations, policies, and procedures
- Ability to communicate effectively verbally and in writing and provide consultation to others
- Ability to work independently
- Ability to obtain information from all relevant sources to accomplish specific task.
- Ability to analyze and interpret accounting data
- Ability to utilize problem solving techniques
- Ability to establish and maintain effective working relationships with others
- Ability to determine work priorities and ensure proper completion of work assignments.
Minimum qualification
- Must be willing to physically come in the office to perform the duties & responsibilities of the position.
Preferred qualifications
- One year working experience of My Florida Market Place (MFMP) / Ariba On Demand (AOD), Florida Accounting Information Resource (FLAIR), Florida Statutes 215.422, 287 and 112.061, Chapter 691-24, and 69I-40 Florida Administrative Code and Reference Guide for State Expenditure Handbook.
