Overview
Palms Dental Care, PLLC, is seeking a friendly, organized, and detail-oriented Dental Receptionist to serve as the face of our practice. Schedule: Monday - Friday
Office
Hours:
- Monday-Thursday: 8:30 AM - 5:00 PM
- Friday: 8:30 AM - 1:00 PM
- Greet all patients warmly with a professional, caring attitude
- Serve as the first point of contact for patients, both in person and over the phone
- Manage new patient intake, including sending, collecting, and updating new patient forms and medical histories
- Compile and organize initial patient charts
- Notify the insurance coordinator when new patient charts are completed so insurance can be added to the family file
- Ensure new patients are properly scheduled and informed of their appointments
- Alert the back office immediately upon patient arrival to maintain smooth patient flow
- Proactively troubleshoot delays and help keep patient wait times under 10 minutes whenever possible
- Take new patient profile photos
- Ensure emergency patients are offered immediate attention whenever possible
- Maintain a clean, welcoming, and organized reception area
- Send appointment confirmation messages via Modento
- Send new patient forms to patients who have not completed them before their appointment
- Call to confirm all unconfirmed appointments for the following day
- Follow up with no-show patients within 10 minutes of their missed appointment and assist with rescheduling
- Maintain and utilize a short-notice call list to fill canceled appointments
- Document unreachable no-shows on a Broken Appointment Form for follow-up
- Keep the appointment schedule full and support office production goals
- Maintain a referral log and ensure referring patients receive thank-you letters
- Coordinate lab case pickups, check in lab cases, and update appointment notes accordingly
- Order office supplies, toiletries, appointment cards, and business cards for new and existing team members
- Coordinate office décor for seasonal and holiday events
- Arrange and pick up lunch for Tuesday's office meetings
- Handle bank visits for office deposits
- Procure distilled water and other essential supplies as needed
- Organize and coordinate staff celebrations, including birthdays and work anniversaries, and arrange cakes and gifts
- Experience in a-paced office environment with high-volume phone calls
- Intense multitasking and organizational skills
- Excellent verbal and written communication skills
- Professional, positive, and patient-focused demeanor
- Dentrix software experience preferred
- Bilingual preferred (not required)
