Job DescriptionJob Summary
You’ll be the first point of contact for clients — both in person and over the phone — and a key support partner for our advisors and operations team. The right person brings professionalism, warmth, and a steady presence to the front desk while handling a variety of administrative tasks with accuracy and care.
Key Responsibilities- Greeting clients and creating a welcoming, professional environment
- Answering phones, routing calls, and taking accurate messages
- Managing calendars and scheduling client appointments
- Supporting client onboarding tasks and workflow steps
- Processing money movements under advisor direction (check requests, transfers, ACH forms, contribution/withdrawal paperwork)
- Ensuring accuracy, proper documentation, and adherence to firm procedures
- Light administrative work: scanning, filing, organizing documents
- Inbox monitoring and routing emails to the appropriate team members
- Updating CRM records and entering basic client information
- Maintaining office organization, supplies, and general tidiness
- Protect client confidentiality and handle sensitive information with discretion
- High school diploma or equivalent required
- Previous experience in a receptionist, administrative, or client-service role
- Strong attention to detail and accuracy, especially with client information and money movement forms
- Comfort with basic office technology (phones, email, scanning, scheduling tools, CRM basics)
- Ability to multitask and stay organized in a steady, client-focused environment
- Financial services experience is a plus but not required
