General Summary

This position reports to the Director Corporate Compliance
- Executive Vice President and has a wide range of complex and confidential administrative responsibilities. The position carries substantial responsibility and requires a broad range of skills and the ability to exercise considerable judgment, initiative, discretion, and independence. This position will coordinate office operations and provides comprehensive support to management and to multiple officers involved in the banking effort. Responsible for performing diversified more complex administrative and staff support services relieving department manager of routine administrative duties.

Uses own discretion as to work procedures and is required to use poise and tact in dealing with clients and others. Duties may vary depending on the specific area to which the individual is assigned.

Principal Duties and Responsibilities
  • Performs a variety of more complex administrative and staff support services such as drafting and rewriting letters, memos and reports; types a wide variety of correspondence, manuals, statistical tables, records, etc. in final form; establishes and maintains department/client records and files.
  • Acts as the department wide point of contact between Compliance / BSA and internal associates/ external clients.
  • Maintains appointment calendar, schedules meetings and provides reminders.
  • Receives calls, manages email to ensure timely and proper response, compose emails, reports and other materials which are sensitive and confidential in nature.
  • Maintain an efficient documentation and filing system.
  • Administers the Bank Office application process on behalf of the director.
  • Aids Compliance division with audit and exam coordination.
  • Administers the Compliance Training program.
  • Produces various reports used by senior management
  • Produces presentations and briefs.
  • Reconciles and approves invoices for fees and expenses within predetermined parameters, reconciles to contract provisions, guidelines, policies and procedures prior to submission to Financial Accounting.

Associates will consistently follow policies and procedures as established by Capital City Bank, Capital City Wealth, and Capital City Home Loans, with department managers setting the standard.

Associated Duties

Provides additional support to manager and department colleagues.

Completes all assigned/required Bank training within established timelines.

Skills and Abilities

(KSAs) Required

The following KSAs are usually acquired through post high school education with specialized business training course(s) and/or five years high level administrative or corporate board secretary experience:

  • Must exercise discretion and confidentiality at all times.
  • Strong computer skills with advanced proficiency in Excel and Power Point critical. Access, Word, Outlook proficiency required.
  • Ability to work independently with little supervision.
  • Excellent interpersonal communication skills with the ability to interact effectively with board members, senior management, clients, and peers.
  • High proficiency in written and verbal skills.
  • Ability to effectively organize multiple priorities and projects simultaneously with few errors.
  • Knowledge of Jack Henry and Synapsys systems with ability to effectively retrieve information.
  • Detail oriented.
