Job SummaryActs as an active, supporting member of the Customer Interaction and Growth Development team to support the marketing departments goal of maximizing customer interaction through data organization and appliance sales. This position must be able to perform essential functions and responsibilities with moderate supervision.
Incumbents in this position will be held to the Districts Gold Standard for Customer Service.
Essential Functions And Responsibilities- Supports running various reports from Salesforce and Congos which is used to provide KPI information to assist the Vice President of Marketing in adjusting procedures and supporting the Districts budget.
- Aides auditing various aspects for the District; pending charges for Installation jobs, open Builder Allowances and Program Rebates, Salesforce job complete stage review; meter set monitoring.
- Aides Marketing Representatives with their appointments by creating accounts in Salesforce, reviewing property appraiser for accurate homeowner information, and assisting customers who are interested in financing.
- Aides auditing Marketing contracts and requests for errors and inconsistencies before sending through the process as well as gathering information for account checks; these contracts include main agreements, extension agreements, and proposals for all residential market types.
- Aides coordinating 811 location tickets through Sunshine 811 portal, Exactix, for existing residential services lines; includes prepping for appointments and assisting with line spotting when private utilities are required to be located.
- Aides in creating location ids and service line work orders in Naviline for existing residential and new construction service lines.
- Aides collecting and processing invoices for the Marketing Department; assigning account number, retrieving approval signatures, providing to Accounting for processing, and reconciling credit card statements.
- Aides in completing Salesforce opportunities based on Cognos Meter Set Report; verifies equipment located in the house at the time of the meter set, enters date stamps for important KPIs, closes the opportunity for tracking purposes.
- Aides reviewing rebates, such as Program Rebates and Builder Allowances, to ensure eligibility requirements are met and submits for approval to the Growth Development Supervisor for processing.
- Aides the Installation Departments processes in various tasks to include but not limited to; creating appropriate 811s through Exactic 811 portal, generating job tasks, issuing inventory, processing Southern Pipe invoices, and completing WFs in Naviline.
- Aides submitting Time for the Marketing Department; gathering individual time from supervisors, receiving, and recording proper leave slips, inputting proper codes and hours. Uses Naviline and Salesforce to accomplish this task.
- Supports the Advertising and Promotions Specialist in various advertising tasks to include but not limited to; proofing materials, preparing direct mailers, compiling addresses, and populating advertising KPIs.
- Aides the Marketing Cancellation process as directed by the Appliance Sales Coordinator; cancels Naviline WFs, verifies Salesforce and pending charges reflect cancellation directions.
- Aides in proper documentation for parts that are eligible for warranties to include completing proper forms and communicating warranty eligibility with key vendors.
- Aides inputting various inform tion in Salesforce for data entry used for tracking and KPI purposes.
- Supports the Customer Interaction and Growth Development team and its members to provide aid/backup support when directed for the overall success of the team and the District.
- Other miscellaneous job-related duties as assigned.

Education And Experience- Assistant I:
High School and zero to two years directly related experience. - Assistant II:
High School plus two to five years directly related experience.
- Ability to communicate effectively, both orally and in writing.
- Interpersonal skills to communicate and work effectively with various personality types.
