About the Role:

We are seeking a driven and highly organized Entry-Level Operations Coordinator to join our growing civil litigation defense firm. This is an excellent opportunity for an Operations Assistant or administrative professional ready to take the next step in their career.

In this role, you will provide direct support to the COO and gain hands‑on exposure to firmwide operations, strategic initiatives, and leadership decision‑making. You will play a critical role in keeping our Miami office running smoothly while helping coordinate efforts across our national offices.

Key Responsibilities:
  • Serve as the primary point of contact for the Miami office and a liaison to national offices
  • Provide direct support to the COO on operational, administrative, and strategic initiatives
  • Manage a high volume of work with shifting priorities and tight deadlines
  • Assist with project planning and execution of firmwide initiatives and process improvements
  • Support the rollout of new programs, systems, and operational initiatives across the organization
  • Communicate effectively with all levels of staff, from administrative team members to firm leadership
  • Prepare and maintain reports and operational data using Excel (including VLOOKUPs)
  • Handle sensitive and confidential information with professionalism and discretion
  • Proactively identify issues and implement solutions in a dynamic environment
Qualifications:
  • 1–3 years of experience in an operations, administrative, or support role (legal industry experience is a plus but not required)
  • Demonstrated project planning skills and experience supporting or coordinating company‑wide initiatives
  • Strong proficiency in Microsoft Excel, including VLOOKUPs and data tracking
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities in a high‑volume, deadline‑driven environment
  • Strong communication skills with the ability to engage effectively across all levels of the organization
  • High level of professionalism, discretion, and sound judgment
  • Adaptable, proactive, and eager to learn and grow
  • Full‑time, in‑office position in Brickell (Monday–Friday) 8am-5pm.
