Job Summary

The Membership Coordinator serves as the first point of contact for prospective and current Members visiting or contacting the Membership Office. This role is responsible for providing exceptional service, supporting Membership operations, maintaining accurate records, and assisting with the onboarding and engagement of Members while ensuring a seamless and welcoming experience.

Primary Responsibilities & Essential Functions Membership Administration & Member Service
  • Greet and assist all visitors to the Membership Office in a warm, professional, and welcoming manner.
  • Answer telephones using proper greeting and telephone etiquette; direct calls to the appropriate associate and respond to general inquiries regarding Watersound Club.
  • Distribute prospective Membership leads to the appropriate Membership Sales & Relations Manager.
  • Maintain comprehensive knowledge and understanding of all Watersound Club membership offerings, amenities, policies, and programs.
  • Enter and maintain Membership data within Club software systems while ensuring confidentiality, accuracy, and attention to detail.
  • Assist Membership candidates with the enrollment process, including guidance with forms and clarification of Club policies and procedures, as needed.
  • Print Membership cards and prepare new Member welcome packets.
  • Prepare, install, and manage RFID tags for Member vehicle windshields and headlamps.
  • Program and provide key fobs for Member use and access.
  • Address Member and guest concerns in a professional, timely, and service-oriented manner to ensure satisfaction and positive experiences.
Office Administration
  • Check, sort, and distribute incoming mail daily.
  • Assist with ordering, receiving, stocking, and distributing office supplies.
  • Support clerical and administrative duties including photocopying, scanning, filing, data entry, and collating materials.
  • Maintain accurate records and organized filing systems.
General Responsibilities
  • Maintain complete knowledge of and comply with all departmental policies, service procedures, and operational standards.
  • Maintain proper use and care of office equipment and technology.
  • Ensure cleanliness, organization, and professional appearance of assigned work areas.
  • Meet regularly with the Director of Membership Sales and Membership team to review priorities, assignments, and daily objectives.
  • Maintain an organized workstation with appropriate supplies and materials.
  • Provide exceptional hospitality and service while representing Watersound Club in a professional and positive manner at all times.
  • All other duties as assigned.
Qualifications

Education and Experience
  • Bachelor’s Degree preferred.
  • Previous administrative, hospitality, customer service, or private club experience preferred.
Knowledge, Skills, Abilities
  • Exceptional interpersonal and communication skills with a polished and professional demeanor.
  • Strong organizational skills with high attention to detail and confidentiality.
  • Proficiency in Microsoft Office and willingness to learn Club software systems.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Must be dependable, flexible, and team-oriented with a passion for hospitality and Member service.
Physical Demands
  • Must be able to frequently type and remain seated at a desk.
  • Must be able to lift 25 lbs.
  • Ability to work outdoors in varying weather conditions, including heat, humidity, wind, and light rain.
Working Conditions
  • Schedule will be Monday through Friday, 8:00 am – 5:00 pm.
  • Indoor and/or outdoor.
