SUMMARY OF FUNCTIONS
The Administrative Assistant supports managers, employees, and visitors by performing a wide range of administrative tasks to ensure efficient and professional operations in an industrial manufacturing environment. This role also provides critical support in recruiting, reporting, invoicing, and serves as an immediate backup to key operational functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet visitors and answer incoming calls in a professional and courteous manner; relay messages promptly.
- Prepare and maintain daily, weekly, and monthly fuel usage reporting and production reports using Microsoft Office applications.
- Provide administrative support to management, including drafting correspondence, organizing meetings, and assisting with projects.
- Support HR functions, including recruiting, candidate screening, onboarding, managing calendars, and maintaining personnel files.
- Serve as immediate backup for the Scale House, including weighing, ticketing, and data entry.
- Process invoices related to uniform services and weekly mill operations, ensuring accuracy and timely submission.
- Manage office supplies and coordinate with the purchasing agent as needed.
- Assist the Safety Department and Sales Assistant with administrative tasks and filing tasks as needed.
- Demonstrate reliability and flexibility, including the ability to work overtime or adjust hours as needed to support business operations.
- Perform other administrative duties as assigned to support overall office and plant operations.
- Handle confidential information with discretion
- High School Diploma or GED required.
- Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint, SharePoint) and general computer skills.
- Strong written and verbal communication abilities
- Excellent organizational, time management, and multitasking skills.
- Attention to detail with a high level of accuracy in data entry and documentation.
- Reliable and dependable with the flexibility to work overtime or extended hours when required
- Ability to work independently and collaboratively in a team-oriented environment.
- Professional demeanor and customer service orientation.
- Prior administrative experience in a manufacturing or industrial setting is a plus.
- Follow all office safety regulations
- When in one of the mills:
- Must be able to follow all safety rules and regulations
- Wear all required personal protective equipment, i.e., hardhat, safety glasses, hearing protection, and reflective wear
- Report immediately all accidents, near-misses, property damage, equipment damage, or unsafe conditions
- Use proper lifting technique at all times
