This position serves as a central coordinator supporting the administrative and operational functions of Major Gift Officers within the Division of University Advancement. The role provides high level support in travel planning, meeting planning, donor stewardship, scholarship management, and data integrity. It emphasizes communication, organization, and collaboration and supports building and maintaining strong donor relationships.
Administrative and Operational Coordination: coordinates specialized advancement functions across Colleges, Schools and Units; assists Major Gift Officers with scheduling meetings, managing calendars, planning travel logistics, and preparing meeting materials; handles travel authorizations and reimbursement forms; manages financial and budgetary activities; collects donor-related materials; provides recommendations to senior leadership.
Data and Record Keeping: maintains donor records in Blackbaud CRM; logs meetings, updates contact details, exports reports; resolves data issues; prepares research packets and reports on donor history; tracks scholarship documents; drafts communications about scholarship deadlines.
Stewardship and Communications: produces and sends donor correspondence, packages, and thank-you notes; organizes appreciation letters; compiles and distributes reports; facilitates contacts and materials for engagement activities; collaborates with Major Gift Officers.
Special Projects: coordinates small donor engagement gatherings; assembles donor meeting packets; supports planning and promotion of donor activities; provides on-site event support; follows up after events; coordinates with departments and vendors to ensure event delivery.
QualificationsBachelor’s degree and two years’ experience in a related field, or high school diploma plus six years of experience; or an equivalent combination. Valid Florida or Georgia Driver’s License or ability to obtain one.
