We are seeking an organized, assertive, and highly communicative Office Administrator to support a senior executive at a rapidly growing national life insurance firm.
This is not a typical back‑office administrative role. While you will manage day‑to‑day office organization, a major focus of this position is executing hands‑on event planning and coordination for our network of over 4,000 agents. You will serve as the primary liaison between our senior leadership and various external vendors to bring corporate retreats and regional events to life.
The ideal candidate is someone who thrives in a fast‑paced environment, possesses strong documentation skills, and is comfortable asserting themselves to keep projects on schedule and within budget.
Key Responsibilities Event Planning & Coordination (Primary Focus)- Vendor Management: Research, source, and negotiate with venues, caterers, hotels, and utility vendors. Maintain organized documentation of all contracts and invoices.
- Travel & Logistics: Coordinate travel arrangements, lodging, and itineraries for corporate retreats.
- On‑Site Execution: Assist in managing live events to ensure scheduling, setup, and vendor delivery run smoothly.
- Upcoming Major Project: Directly support the logistics and execution of our upcoming marquee event in Atlanta, GA (August 2nd – August 9th). All travel and housing expenses for this event will be fully covered.
- Executive Assistance: Provide direct administrative and organizational support to a senior leader, helping manage their daily schedule, tasks, and action items.
- Office Operations: Maintain a clean, organized, and efficient onsite office environment.
- Documentation: Draft, organize, and maintain digital and physical records, spreadsheets, and event checklists.

- Communication: Exceptional verbal and written communication skills for interfacing with senior executives, vendors, and agents.
- Detail‑Oriented: Strong documentation skills to keep track of complex logistical details, vendor contracts, and event schedules.
- Travel Flexibility: Ability to travel occasionally for key events – specifically must be available to travel for the upcoming event from August 2nd to August 9th. All business travel is company‑paid.
- Reliability: Ability to work onsite daily in Yulee, FL, Monday through Friday from 8:00 AM to 1:00 PM (with flexibility for extended hours during event weeks).
- Office Environment: Professional, collaborative, and fast‑paced.
- Dress Code: Business casual. Jeans are permitted as long as they are clean and free of rips or tears, paired with a professional shirt.
