The General Counsel’s Office has many areas of business and administrative law.
The Work You Will DoThis position provides administrative support to the Division of Condominiums, Timeshares and Mobile Homes Arbitration Legal Unit and works under the direction of the Chief Arbitrator.
Your Specific Responsibilities- Provides statistical information pertaining to closed cases and attorney case assignments;
- Prepares, converts and posts final order summaries and final orders to the internet;
- Prepares indexes of final orders, attorney’s fee order and recall cases;
- Coordinates printing services pertaining to indexes for distribution to the public;
- Monitors and updates Arbitration internet website;
- Assists in opening, closing and updating case statuses in document and case management systems;
- Maintains attorney case files ensuring documents are in date order;
- Answers incoming telephone calls and distributes as necessary;
- Drafts letters and correspondence;
- Processes incoming mail;
- Prepares outgoing mail, including creating certified mail packages;
- Requests destruction of legal documents in accordance with the appropriate schedule;
- Intercepts and prioritizes escalation calls.
- Knowledge of Microsoft Office Suite, specifically Word and Outlook;
- Knowledge of law and legal procedures;
- Knowledge of office procedures and practices;
- Knowledge of methods of data collections;
- Ability to effectively communicate verbally and in writing;
- Ability to prepare correspondence and administrative reports;
- Ability to utilize problem solving techniques;
- Ability to establish and maintain effective working relationships;
- Ability to multi-task;
- Ability to work independently;
- Ability to plan, organize and coordinate work assignments.
- High school diploma; and
- At least one year administrative experience, clerical or legal secretarial experience; and
- Working knowledge of Microsoft Word and Outlook.
