Job DescriptionWe are seeking a detail-oriented and personable Administrative Assistant II to join our Marshal's Office team. In this multi-function role, you will provide essential HR support, mail room duties, and purchasing duties while also keeping day-to-day office operations running smoothly. HRResponsibilities
- Assist with Human Resource duties
- Support employee onboarding and offboarding processes
- Maintain accurate and confidential employee records in the Axiom Pro system
- Assist in administering employee benefits programs and responding to related inquiries
- Help coordinate performance review cycles and track completion status
- Support compliance efforts by maintaining up-to-date knowledge of labor laws and company policies
- Respond to general HR inquiries from employees with professionalism and discretion
- Manage calendars, schedule meetings, and coordinate travel arrangements for Judges and staff
- Handle incoming calls, emails, and correspondence, routing items to the appropriate team members
- Maintain organized filing systems (physical and digital) for HR documents and office records
- Order and manage office supplies, vendor relationships, and facility requests
- Coordinate logistics for interviews, onboarding sessions
- Serve as the first point of contact for visitors and employees of the Marshal's office
- Coordinate office and workstation setup for new hires, including equipment provisioning, desk configuration, and access credentials in collaboration with IT
- Research, evaluate, and procure office supplies, equipment, and services - obtaining quotes, comparing vendors, and managing purchase orders within approved budgets
- Track purchasing activity and maintain a purchasing log to ensure cost accountability and policy compliance
- 1-3 years of experience in an HR or administrative support role
- Familiarity with People First platform a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with integrity and discretion
- Self-starter with the ability to manage multiple priorities and meet deadlines
